Are you a detail-oriented HR and Payroll professional looking for your next opportunity? We are excited to invite applications for the position of HR & Payroll Coordinator within our Shared Service Team at our Coatbridge Service Centre.
In this pivotal role, you will manage key HR and Time & Attendance functions, ensuring our team members receive accurate and timely payments. You will also maintain essential employee data and signpost managers to our HR policies, contributing to a supportive workplace culture.
Principal Accountabilities:
1. Monitor and control people leader approvals of overtime and absence including inputting annual leave & absence into the T&A system (once approved by management) for all team members.
2. Calculate and control sickness absence payments for all team members ensuring Company Sick Pay is applied as per entitlement and policy and Statutory Sick Pay is applied as per HMRC legislation.
3. Assist in the onboarding process for new hires, including preparing paperwork, obtaining references, and ensuring a seamless integration into the company.
4. Calculate and control final payments for leavers ensuring the HR & T&A systems are maintained and updated accurately for all team members ensuring any overpayment/underpayment process ensuring production of letters and all documentation is processed as per Standard Operating Procedures.
5. Utilise Workday and Promark in a timely manner to process team member data changes as well as paperwork completed for Payroll.
6. Verify first and second payroll run and make any necessary amendments within set deadlines. Identification of any payroll errors ensuring appropriate action is taken in a timely manner.
7. Ensure all employee information is securely filed and access to personnel data is strictly controlled.
8. Respond to requests for data from internal and external sources ensuring that all SLA’s are met in accordance with Service Now guidelines.
9. Train and maintain standards for a back up HR & Payroll Coordinator to cover payroll in their absence.
10. Support with DSARS and ensuring that they are completed in line with legislation.
11. Weekly production of the Service Centre Labour Cost Report ensuring timely distribution to relevant Managers.
12. Prepare and run weekly transmission data adhering to set deadlines, retaining documentation as per SOP.
13. Produce all payroll reports that are required on a weekly/monthly basis ensuring deadlines are met.
14. Provide 1st level employee relations advice, for example maternity rights; holiday entitlements; sickness and absence management and flexible working requests. Directing people leaders to correct policies on MyHR. Identifies more complex cases and escalates appropriately.
15. Collaborate closely with other members of the shared service team to ensure consistent delivery of high-quality HR services and adhering to strict SLA’s and processes.

Essential Knowledge, Skills and Experience Required:
* High visual accuracy
* Good communication skills, to support with sensitive and critical personnel conversations
* Good organisational skills
* Strong technical aptitude with expertise in working with HRIS systems; proficiency in Microsoft Office Suite is also required, particularly Excel, SharePoint and OneDrive
* Good verbal and written communication skills to include telephone technique
* Intermediate/advanced Numeracy
* Basic HR and payroll knowledge including standard terminology
