Full job description
JOB TITLE: Medical Receptionist/Administrator
REPORTING TO: Deputy Practice Manager
HOURS: Full-Time 37.5 Hours Per Week (with 30 minute lunch break)
Working pattern: Monday to Friday, 10:00 - 18:00
Function: To ensure that the administrative function to support the practice's service to patients runs efficiently and effectively.
Main Duties and Responsibilities:
1. Meet and greet patients, members of the public, and visitors to the practice in a friendly and courteous manner.
2. Make appointments for patients with the doctors, nurses, and other members of the primary health care team on the computer.
3. Deal with telephone queries and test results.
4. Complete surgery lists and extract patient notes when required.
5. Refer patients to secondary care.
6. Scan and read code patient documentation (document management).
7. Operate repeat prescription system as directed.
8. Register new patients on the computer system.
9. Open and distribute post.
10. File medical notes, letters, test results, and other correspondence.
11. Photocopy patient files where necessary.
12. Understand the usage of the practice email and intranet system.
13. Assist in the closing and securing of the building at the end of the working day.
14. Comply with all in-house and statutory Health & Safety procedures.
15. Attend practice meetings where necessary.
16. Attend training courses in-house and externally to develop expertise and further knowledge.
17. Handle petty cash.
18. Any duty that may be properly deemed by the Practice Manager or Doctors to be part of the role of receptionist/administrator.
It is important that all members of staff are prepared to take on additional duties or relinquish existing duties in order to maintain efficient running of the practice. The Practice/ Deputy Practice Manager and Doctors reserve the right to redistribute duties and functions amongst members of staff from time to time.
