Job overview
An opportunity has arisen to join the Upper GI Unit. We are looking to recruit a capable, helpful and enthusiastic Admin Team Leader to join the team. You will be a key team player in providing managerial support to the Department Coordinator, GI Unit Operation Manager and admin staff within the department.
The successful candidate will provide managerial and administrative support for the GI Unit team. The post holder will be responsible for the line management of the secretarial and admin teams within the unit, supporting their induction, training and personal development. They will communicate clearly and effectively with all associated parties.
Main duties of the job
1. To be responsible for the line management of the administration staff in the departments, including monitoring of attendance, productivity, training and development needs.
2. To organise departmental team meetings, producing the agenda and minutes, communicating up to date information, and ensuring actions are completed to the appropriate timescales.
3. To be responsible for the administration of the Endoscopy User Group, Endoscopy DMT and GI Unit Specialty Meetings. Organising meetings, taking minutes and maintaining action logs, following up on outstanding actions in conjunction with the GI Operation Manager. To prepare and distribute the UGI consultant timetable.
4. To support and work alongside the Department Coordinator to ensure that tasks are completed to the appropriate timescales and to provide cover for the department coordinator during leave.
5. To work directly with Consultants, junior medical staff, specialist nurse teams and other multi-disciplinary professionals to achieve best practice, taking the initiative in organisation, administration and communication and being the first point of contact for any queries relating to service to minimise interruptions to the delivery of services.
