Victoria Ward is a 21 bed ward for general medical, frailty, dementia, and palliative patients. Our vision is to deliver outstanding care to patients on the ward and provide personalised holistic care during their stay with us.
The position is for 10 hours per week, with five hours on Monday and five hours on Friday. Unfortunately, these days are not negotiable, but the working times within the days are flexible.
We are looking to appoint a self-motivated, enthusiastic person who can work as part of our busy unit. You will be part of the multi-disciplinary team and must have good organisational skills that enable you to work on your own initiative to tight deadlines, thus contributing to the smooth running of the department.
Main responsibilities include reception duties, answering calls, checking patients' details, maintaining ward stock, and general clerical duties. The role also includes ensuring that notes are tracked and available for doctors.
Applicants must have good communication skills and some IT and PC skills. Knowledge of Lorenzo is desirable, but full training will be given.
Main Duties of the Job
The Ward Clerk role is multi-faceted. The Ward Clerk provides support to the team and the unit manager in clerical duties, the daily running of the department, and ensures that all support facilities are in place.
Job Responsibilities
Main Duties
1. Answering telephone enquiries in a polite and efficient manner
2. Filing results in patient files
3. Ordering patient files and notes
4. Ensuring that all patients have up-to-date VTE forms
5. Maintaining up-to-date information on the Trust's computer systems (e.g., Healthroster, Lorenzo, and Digit)
6. Liaising with other members of the multi-disciplinary team, such as secretaries and social services
7. Requesting and obtaining patient records and x-rays
8. Booking patient transport as required
9. Booking and rescheduling patient appointments
10. Direct admissions to the ward
11. Photocopying, scanning, and faxing documents as required
12. Providing clerical support to the Ward Manager
13. Delivering referrals to the relevant departments
14. Making any relevant follow-up appointments for patients
15. Assisting with lunchtime service
16. Logging any maintenance work as required
17. Demonstrating own work duties to new starters
Service Improvement and Audit
1. Carrying out ward-based audits of aspects of patient care that relate to the role of ward administrator
2. Providing clerical support to the nursing staff on the ward for audits
3. Carrying out the coding of all the ad hoc/ward patients seen on the surgical unit
4. Ordering stationery and general supplies
5. Ensuring the nursing station/ward clerk area is kept tidy
Communications and Working Relationships
To communicate with others in a polite and courteous manner at all times. The post-holder will communicate with medical and nursing staff, patients, relatives, carers, and other members of the public while maintaining patient confidentiality.
