The Document Management Administrator will join our document processing team to ensure the timely processing of incoming correspondence, coding of clinical data, and other administrative duties.
Main Duties of the Job
1. To process incoming post, including opening, sorting, scanning, and processing as per practice policies and procedures.
2. To process incoming electronic documents.
3. To process incoming emails.
4. To ensure that easily identifiable clinical content, usually investigation data, is entered into the practice computer system to help with QOF achievement and general good practice guidelines.
5. Ensure all information is recorded accurately and timely onto the practice computer systems.
6. Other administrative duties as required.
7. To be willing to undertake other delegated duties considered appropriate to the post.

In undertaking this role, the Post Holder must:
1. Ensure patient and practice confidentiality is always maintained.
2. Ensure computer security is preserved when not at your screen and maintain password security.
Secondary Responsibilities
In addition to the primary responsibilities, the Post Holder may be requested to:
1. Review and update the practice coding policy as required.
2. Partake in audit as directed by the audit lead.
3. Any other duties commensurate with skills and responsibilities.
The Post Holder will also be required to:
1. Participate in an annual individual performance review.
2. Track and record evidence of their experience against the national competency framework.
3. Inform their line manager / lead GP of any concerns regarding their role and request professional development as needed.
4. Be aware of their professional boundaries and what to do when they are reached.
Person Specification
Experience
* Previous experience of document management or administration.
* Experience of working in a GP practice.
Qualifications
* Good general standard of literacy, numeracy & IT skills (GCSE level or equivalent).
* Competent user of Microsoft Office applications (Word, Excel, Publisher & PowerPoint).
