This is a 6-month temporary assignment, and we are seeking someone available to start immediately. The interview process will involve two stages: a data task and a role-related knowledge interview, both of which we aim to conduct during the week commencing October 14th.
We are open to this person being remote in the UK or based in our London office but may require occasional travel to the London office for essential project meetings.
The primary responsibility of this position will be to ensure the successful data migration from Shareworks to our new chosen provider, tbc in October. This includes cleaning, checking, and signing off all data for the migration, providing technical expertise to assist colleagues throughout the company. The role will support both the data transition processes and work to implement controls for future share plan administration. Additionally, the role will assist in creating relevant participant communications in relation to the migration project for all Deliveroo share plans, and work with internal stakeholders and our share plan provider to support with the resolution of participant queries and to optimize the working of our systems after the official migration and new system’s launch date.
Key accountabilities:
Input into the planning of the share plans migration process.
Ensure an effective and timely transition of Deliveroo share plans globally to our new share plans system provider, including the transposing of share plan events such as awards, vestings, etc.
Support the activities required to successfully set up the new share plans system, including data cleanse, testing, etc.
Collaborate with internal stakeholders (including Reward, Company Secretary, Finance, Tax, Payroll, etc.) and form a relationship with the company’s external share plans administrator during the migration process.
Implement best practice in terms of compliance, accuracy, and the employee experience when delivering the final product of the system.
Identify opportunities to mitigate future risk when setting up the new share plans system.
Implement long-term control processes for the new share plan system.
Ensure all relevant documentation and communications are clear, accurate, and informative for share plan participants.
Act as a point of contact for queries regarding share plans’ administration.
Experience required:
Experience working with company share plans.
Data Migration Expertise: Experience in data migration, ensuring accuracy and timely transition of share plans to a new system.
Technical and Project Management Skills: Provide technical support, manage project planning and execution, and ensure compliance and accuracy.
Stakeholder Collaboration: Work effectively with internal teams (Reward, Finance, Tax, etc.) and external administrators.
Communication Skills: Create clear and informative participant communications and documentation.
Risk Mitigation and Control: Identify risks and implement long-term control processes.
Problem-Solving and Support: Act as a contact for queries and optimize system performance post-migration.
