The HR Shared Services (HRSS) team is a critical part of the Human Resources department and provides first-line support to employees across the company. The HRSS team is often an employee’s most common contact with HR and deals with everything from responding to a general HR inquiry, providing end-user support for HR tools and systems, processing employee-related transactions, ensuring smooth onboarding and compliance, and more.
Responsibilities include:
1. Updating and maintaining myHR with team member information, which includes processing new hires, terminations, compensation changes, and tracking training and professional development.
2. Managing the service award program, including preparing quarterly eligibility files, receiving and distributing awards, processing invoices, and managing vendor relationships.
3. Responsible for disability management, working with the Team Member, Team Leader, and the Wellness Center to ensure employee leaves (including maternity leaves, disability, workplace injury, and unpaid leaves) are processed correctly. This includes ensuring paperwork has been prepared and completed, myHR is updated, and hours are coded/entered in the Time entry system.
4. Involvement in onboarding new team members and quarterly full-day orientation sessions.
5. Managing team member benefit administration, including inquiries, enrollments, and changes.
6. Responsible for creating new hire and termination packages, preparing offer, transfer, and promotion letters.
7. Participating in process evaluation and technology projects impacting the HRSS team, as well as other groups.
Qualifications:
1. Intermediate working knowledge of MS Word, Excel, and Outlook. Familiarity with an HRIS system is a plus, particularly PeopleSoft.
2. Strong written and verbal communication skills, with the ability to effectively explain basic and complex processes to customers.
3. Technically savvy, able to quickly learn and use new systems and technology.
4. Strong inclination for problem-solving and root cause analysis.
5. Bachelor's in HR or related field preferred.
6. 2-3 years’ experience in Human Resources or customer-facing roles where primary interaction is via electronic means (phone, email, etc.).
7. Experience effectively handling confidential information.
8. Detail-oriented, self-directed, and a strong learner.
