PURPOSE: Be an integral part of the Office and Administration team providing support to enable the smooth running of a busy Environmental (Ecology) consultancy practice. Work within and promote a positive and proactive working environment and provide support to the Ecology team with day to day tasks and administration of projects and records and in relation to preparation of equipment for field surveys.
This is a part time position. Salary £23,400 pa pro rata for 25 hours per week.
Flexible hours are available within normal working hours Mon-Fr 09.00am-17.30pm.
DUTIES TO INCLUDE:
1. Office Administration
2. Provide day-to-day office operational support and act as a linchpin for a busy team of consultants who may be working in the office, at home or in the field.
3. Primary duties include administration, handling and prioritising incoming correspondence, co-ordinating communications (redirecting calls and emails and responding as necessary).
4. Order and maintain office and ecology equipment and supplies as required.
5. Organise and update staff training and CPD records/contact details and other records relevant to the role.
6. Provide support to staff in the Brighton office and be the link with HR and Payroll Co-ordinators in the Ashwell and Tewkesbury offices.
7. Provide support to staff in the Brighton office in relation to Health and Safety procedures and audits and be the link with the Health and Safety Co-ordinator in the Tewkesbury office.
8. As a member of the wider Administration team based in other offices, meet regularly on Teams or in person.
9. General office co-ordination including maintaining and updating office and utility records and oversee any facilities requests.
10. Other general office duties and support to ensure the smooth running of the team.
11. Ecology/Ecologist Support
12. Maintain fee correspondence files and update fee summaries where necessary.
13. Organise accommodation for Ecologists as and when required.
14. Data entry into Onesys Coretime, project and time management software (training given), including setting up new jobs and inputting outlays.
15. Produce monthly project reports for invoicing, job reviews and maintaining inhouse fee tracking system to facilitate invoicing using the Onesys Coretime time management software (training given).
16. Provide general administrative support to the team of ecologists in the Brighton office. Attend the weekly Ecology team meeting (Monday morning) and update the active jobs sheet.
17. General Duties
18. Adhere to company policies and procedures, and where necessary ensure compliance with regulations and ensure relevant communications are shared with the Brighton team.
19. Facilitate effective communication within the office and serve as a point of contact for internal and external inquiries.
20. To competently use Microsoft office packages (Word, Excel and Outlook) and other software to produce/maintain documents, spreadsheets and databases.

ABOUT YOU
Are you a friendly, conscientious and enthusiastic individual with previous admin experience and good IT/computer skills? Then this could be the job for you. Ideally, you will live in the Brighton or Hove area and be able to walk or cycle to work or have access to public transport. You must also be able to demonstrate the following skills and experience:

Qualifications
1. GCSE grade C or above in English and Maths or equivalent
2. NVQ 2 in Business Administration or equivalent
