We have an exciting and challenging opportunity to join a small team of enthusiastic Vaccinations Admin Support Assistants to support the delivery of NHS Highland’s vaccination programme. The successful candidate will have strong administration skills with the ability to work in a fast-paced, evolving environment.
You will be competent in the use of Microsoft packages, including Word, Excel, and Microsoft Teams and be able to demonstrate:
1. Excellent customer service skills;
2. Experience of working as part of a team;
3. Excellent telephone manner;
4. Adeptness in using own initiative;
5. Experience of working in a busy environment;
6. The ability to multi-task and prioritise effectively and efficiently whilst remaining calm under pressure;
7. A sound understanding of confidentiality within a healthcare setting;
8. Flexible with excellent communication skills.
You will be required to manage referrals for the NHS Highland vaccination programme, including contacting citizens to schedule, book, and reschedule vaccination appointments locally and/or via National systems. You will provide administration support within NHS Highland’s Vaccination Service to ensure accurate records are maintained, manage inbound/outbound calls, and manage emails/voicemails received by the service, escalating enquiries where required.
Full training will be provided. The post holder must be based within the NHS Highland Board area.

NHS Scotland is reducing their full-time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay. This reduction will also be applied pro rata for part-time staff. This advert and any subsequent offer/contract of employment therefore reflects the new working hours. However, as not all service areas will be able to adopt the 37-hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week.
