Role and Responsibilities:
1. Normal routine clerical duties, e.g. filing, charting, making lists, completing forms.
2. Answering telephone, taking messages and enquiries regarding patients' condition after consultation with ward nursing staff.
3. Operate patient administration computer system and ensure computer system is up to date at all times with details of all patients currently on the ward.
4. Ensure all patient details on the computer are correct, including ethnic origin.
5. Record all patient discharges and transfer details on the computer as soon as possible after the event.
6. Maintain an adequate supply of stock levels to maintain the smooth running of the ward.
7. Ensure that case notes are available, maintain them in an orderly manner and return them appropriately after discharge letters are completed.
8. Notify Next of Kin of patients' admissions and (emergency) transfers if required by ward staff.
9. Ensure that, once medical staff have completed discharge summaries and coding, the notes are returned to medical records.
10. Make arrangements for X-rays, ECG and other relevant procedures, when requested.
11. Collect and deal with post appropriately.
12. Obtain relevant personal information for nursing documentation and update details on the computer.
13. Liaise with ward co-ordinator regarding all patients expected for admission.
14. Any other ad-hoc duties as required by the ward manager.
Policy and Service Development Responsibilities:
1. The post holder will be expected to supervise junior staff.
2. Be actively involved in the induction of new staff.
3. Accept personal responsibility for identifying their own learning needs and for maintaining their own professional development and mandatory training.
4. Assist in facilitating a learning environment conducive to the acquisition of further knowledge and skills and be actively involved in the development of others.
5. Promote and provide health education for patients and their carers/family.
Professional Responsibilities:
1. Promote a professional and positive image of themselves and the Trust.
2. Demonstrate a caring and supportive attitude towards their work colleagues.
Other Information:
1. The post-holder may be required to carry out other relevant duties as required.
2. The post-holder will adhere to the duties specified under the Staff Responsibilities of the NHS Constitution in their day to day work and behaviours.
3. The post-holder will be expected to aspire to the Values of the Trust in their day to day work and behaviours in order to support the Trust in achieving its Vision.
4. The post-holder will adhere to, at all times, any Professional, NHS Code of Conducts and legislation relevant for their area of work.
5. The post-holder will make themselves familiar with, and adhere to, at all times, the policies and procedures of the Trust, and their area of work.
6. The post-holder will be expected to work to any Corporate/Division/Directorate/Department objectives and standards in order to provide an acceptable level of service.
7. The post-holder will be expected to undertake training, including mandatory and role-specific training, relevant to their role and ensure it is renewed as required.
