Job summary
We are looking for a new receptionist to join our very busy medical reception team based on the outskirts of Bradford. The position is part time for 26.25 hours per week worked Monday to Friday inclusive working on a rolling rota of mornings and afternoons. The role incorporates dealing with all callers via the telephone, making appointments with the appropriate clinician, the preparation of repeat prescriptions, dealing with Doctors tasks and repairing the paper copies of patient records (tagging). We use job specific software but full training is given in all aspects of the role.
Main duties of the job
The successful candidate will be expected to take part in all reception activities once trained. We are looking for someone with preferably previous GP surgery experience, but this is not necessary as we are very happy to give full training to the right candidate.
If you have high volume telephone experience and can stay calm under pressure, are able to prioritise work and still keep your head and sense of humour, we would love to meet you.
About us
Our team of 30 multidisciplinary professionals work very closely together to ensure a harmonious health service to our local patient population of over 10k people. It is a very busy surgery, covering general health care along with specialist services such as physiotherapy and ultrasound screening.
We have a very generous leave allowance and our remuneration is negotiable dependent upon experience.
Job responsibilities
1. Receives and assists patients and visitors, directing to others as appropriate.
2. Handles all general enquiries from patients and others, in person and on the telephone, and takes and records messages for other members of the team.
3. Redirects enquiries to appropriate members of staff as necessary.
4. Explains practice arrangements to new patients wishing to register and to those seeking temporary cover and ensures all procedures are completed.
5. Makes, cancels and rearranges appointments in accordance with the practice appointment system.
6. Receives and records requests for advice calls and home visits.
7. Actions and records requests for ambulances/hospital transport.
8. Receives requests for prescriptions and arranges issue and signing of repeat prescriptions in accordance with the practice protocol.
9. Receives specimens from patients following Health and Safety guidelines, ensuring that they are passed to the appropriate clinician.
10. Acts as a chaperone for patients as required.
11. Being aware of the practice complaints procedure and directs patients as appropriate.
12. Prepares outgoing post and arranges posting as necessary.
13. Ensures accurate recording and handover to other colleagues of information relating to incomplete tasks.
14. Repair, tagging and maintenance of medical records.
15. Liaise with practice administration team regarding urgent and private appointments, plus arrange transport and liaise closely with Community Matrons, District Nursing and Social Services.
16. Action practice notes on a daily basis, which may involve contacting patients, hospitals or other service providers by telephone, SMS, letter or email.
17. Contact patients due for recall e.g. follow-up for vaccinations, smears etc.
18. Participation in reception rotas and give cover to the administration team as and when required.
