We are seeking a Personal Assistant to support our Managing Director and facilitate the smooth running of all office operations. This pivotal role, based in the heart of Glasgow, demands a proactive and organised individual who excels in a dynamic environment and has a proven track record in both Personal and Executive Assistant roles, ideally with experience in managing modern office operations.
Day-to-day of the role:
* Manage the Managing Director's diary and mailbox, ensuring efficient scheduling and prioritisation of engagements.
* Organise and attend weekly Director's meetings and quarterly Board meetings, including preparation and distribution of Board papers and reports.
* Take accurate minutes during meetings and ensure follow-up on action points.
* Oversee travel, accommodation, and event arrangements for the Director and visiting directors.
* Manage communications, correspondence, and confidential documentation.
Required Skills & Qualifications:
* Excellent organisational skills and the ability to manage multiple tasks efficiently.
* Proficient in Microsoft Office Suite and SharePoint, particularly Outlook, Word, Excel, PowerPoint, and OneDrive.
* Strong communication skills and the ability to maintain professional relationships.
* Ability to work independently, prioritise effectively, and meet deadlines under pressure.
* High level of discretion and integrity, especially when handling sensitive information.
