Job Description
Responsible for the timely, accurate and efficient preparation and management of documents. You will control the numbering, sorting, filing, storin and retrieval of both electronic and hard copy documents produced by the design team and other projects.
About The Role
* Create and review documents, scanning and taking photocopies of files, making document revisions and storing documents safely and securely.
* Assist the Design Manager / Project manager in the development and maintenance of documents such as drawings, specifications, approvals, and related items
* Working in a fast-paced and deadline-driven environment
* Creating document templates
* Converting information from project teams into user-friendly documents
* Numbering and labelling documents for identification and reference
* Scanning, copying, and distributing documents to project team members and stakeholders
* Tracking documents to maintain confidentiality
* Reviewing documents and making revisions for accuracy
* Liaising with project team members to ensure documents meet requirements ie. Correct revision
* Training document specialists and other employees on document systems
* Ensure all documents meet formal requirements and standards
* Help at the planning stage of specified projects
* Ensure the timely distribution of documents and drawings to all relevant project personnel
* Working in accordance with company procedures and guidelines
* Quality check of all drawings and documents transmitted by the lead project manager in line with naming convention/files names
* Creation of and issuing out of the O&M / H&S file upon completion of projects in line with the Contract timelines.
* Uploading of drawings to client online portals as and when required.
* Undertake any administrative duties as required
Any other duties as requested by the manager or any member of the management team

Desired Criteria
* Experience in the construction industry
* Experience in using various software packages and online portals such as; 4Projects, BIM, Acconex, Procore etc.
Required Criteria
* Be working towards or have level 5 qualification in a relevant discipline: for example Construction or IT or 2 year’s experience in a similar role with relevant experience in document control or records management
* Understanding of document control systems
* Knowledge of Microsoft Office software
* Strong administration experience
* Attention to detail to ensure documents are accurate and made to specification
* Industry-specific technical knowledge, including an understanding of industry terms, policies, and processes
