Workplace Team Leader
Office Locations: East Grinstead, Storrington & Chichester when needed - travel to other offices as required – use of own car.
Working Hours: 37 hours per week, between 07:00 – 19:00
Reporting To: Workplace Regional Manager
The team:
To provide truly outstanding client service we work as one team. Our Business Operations Group is made up of business professionals who work with our legal professionals to provide market-leading expertise to our clients. The Groups include Finance, Operations, People, Marketing, IT, Risk and Executive Leadership team.
What you will be doing:
As Workplace Team Leader, you will oversee operations across our East Grinstead, Storrington offices, and provide additional support where needed for our Chichester office, ensuring the effective delivery of workplace services. You will lead and inspire the team to maintain a safe, professional environment for employees, clients, and visitors, while continuously improving service quality, customer satisfaction, and cost-effectiveness.
This role offers opportunities for leadership development and career growth as you contribute to the firm’s strategic goals, collaborating with teams such as HR, IT, Risk, Marketing, Finance etc to create a cohesive and efficient work environment. This role requires regular travel between sites, with occasional home working, making flexibility and adaptability essential.
Key Responsibilities
Service Delivery & Operations
* Oversee document services, including scanning, printing, transcription, and digital mailroom operations.
* Ensures exceptional client experiences by overseeing front-of-house operations, managing client/customer communications, managing meeting room and desk bookings and coordinating internal events.
* Oversees office operations, maintenance, health & safety, and vendor management to ensure a secure, efficient, and well-maintained workplace.
* Manage service-level agreements (SLAs) and contractor performance, ensuring service quality and value.
* Serve as the Workplace contact for internal and external customers, maintaining relationships to ensure consistent service quality.
Health, Safety & Compliance
* Ensure compliance with statutory regulations, including Health & Safety, COSHH, and Fire Safety.
* Oversee risk assessments, safety inspections, and the safe operation of facilities.
* Manage emergency procedures and ensure the team is prepared for any emergency callouts, including out of hours.
* Ensure high-quality workplace services by implementing standardized processes, monitoring performance, and supporting audits to drive continuous improvement - ISO 9001.
* Maintain information security compliance by enforcing secure document handling, office security measures, and data protection best practices - ISO 27001.
* Support sustainability and social responsibility initiatives by reducing waste, promoting ethical sourcing, and contributing to BCorp compliance reporting – Bcorp.
Business Continuity
* Ensure the Business Continuity Plan is updated and actively maintained.
* Actively participate in contingency planning and incident recovery.
People Leadership & Development
* Lead, develop, and motivate the workplace team, fostering a high-performance culture and coaching for business success.
* Drive team collaboration, communication, and accountability across locations.
* Develop and implement plans to engage employees, ensuring consistent service delivery at all locations.
Project Management & Change Leadership
* Lead workplace projects to ensure timely and budget-compliant delivery.
* Drive continuous improvement and change initiatives to enhance the working environment and operational efficiency.
* Oversee accommodation moves, space planning, and office reorganisations, coordinating with both internal departments and external contractors.
Budget & Financial Management
* Manage OPEX and CAPEX budgets, ensuring service delivery within budgetary constraints.
* Provide regular budget performance reports and support senior management decisions.
What you will need:
Leadership & Team Management
* Demonstrable experience in leading and developing high-performing, multi-disciplinary teams, fostering a collaborative and results-driven culture.
* Strong ability to motivate and develop teams, fostering collaboration and accountability across multiple locations.
* Proven experience in managing change and improving service delivery in a fast-paced, professional services environment.
Operational & Service Delivery Expertise
* Proven track record of optimising workplace services in a corporate or professional services environment.
* Expertise in managing multi-site operations and ensuring service excellence across diverse locations.
* Strong experience in budget management, project delivery, and contract management.
Health, Safety & Compliance Knowledge
* In-depth understanding of statutory regulations and compliance requirements, including Health & Safety, COSHH, and Fire Safety.
* Hands-on experience managing risk assessments and implementing safety protocols.
Interpersonal & Communication Skills
* Strong ability to influence and engage stakeholders at all levels.
* Comfortable interacting with senior leadership and external partners, ensuring alignment with business goals.
* Strong problem-solving skills with the ability to make decisions and resolve issues effectively under pressure.

Additional Information
* Travel Requirements: Regular travel between East Grinstead, Storrington, and Chichester is required with use of own car, mileage will be reimbursed in accordance with company policy.
