We are looking for a Project Coordinator to join our collaborative and supportive team. This key role provides essential support to one or two Consultants, managing a high volume of assignments for our clients and ensuring the timely delivery of each project. You will coordinate diaries, compile candidate reports, liaise with clients and candidates to arrange interviews and key meetings, and ensure Consultants are well-prepared for client engagements.
This role is based in our Edinburgh office; we value connection and collaboration, so we ask that our new team member is present in our Edinburgh office four days a week. This Project Coordinator position will initially be focused on supporting our Leadership Services practice, as well as playing a key role in the smooth running of office operations. However, we move the team around from time to time to respond to the demands of business. This is a varied and rewarding opportunity for someone who enjoys working as part of a purpose-driven team.
Key Focus Areas:
* Consultant support and diary management
* Coordination of multiple recruitment processes (typically 15–20 simultaneously)
* Supporting Consultants with business development planning and events, including attendance
Responsibilities:
* Complex diary management, including national and international travel arrangements
* Overseeing key stages of recruitment processes, keeping Consultants and clients informed
* Liaising with clients and candidates; arranging interviews and meetings
* Managing a high volume of emails and telephone enquiries
* Maintaining accurate, up-to-date records on various company databases
* Interacting professionally with senior and high-profile individuals
* Preparing polished, client-ready documents with a strong attention to detail
* Developing a strong understanding of the organisations and sectors you are supporting

The Project Coordinator Team (PCT)
Our diverse team of approximately 19 Project Coordinators brings together professionals from various career backgrounds. This role requires some previous professional experience, but our team members range from those newer to their careers or this type of position to seasoned professionals with over two decades of experience in the business. We value and welcome people from all backgrounds and perspectives.
The team operates from three primary locations—London, Edinburgh, and Guildford—with flexible hybrid working arrangements. Despite our geographical distribution, we maintain a strong, collaborative community.
We support your success through a comprehensive induction programme, continuous on-the-job training, and regular team workshops.
