Job Overview
An exciting opportunity has arisen to join the postgraduate education team at Mersey and West Lancashire Teaching hospitals NHS Trust. You will join an established and growing team to support the Head of Clinical Education, Postgraduate Administration Coordinator and Medical Education Faculty to provide high level and quality administrative support for foundation doctors.
Applicants will require excellent customer care, communication and organisational skills to cope with a demanding workload in a busy and changing work environment. The successful applicant will also require a flexible approach to working and will be dedicated, hardworking, enthusiastic and highly motivated.
The Successful Post Holder Will Be Responsible For
* The planning, organisation and provision of administrative support for postgraduate medical doctors on placement in the Trust.
KEY DUTIES
Administrative support
* To determine the administration requirements for postgraduate medical doctors aligned to their rotations within the Trust.
* To provide administrative support to clinical education faculty for relevant clinical education activity.
* To liaise with the Medical Education Facilitator and Postgraduate Admin Coordinator to organise postgraduate teaching programmes.
* To engage with and communicate relevant information about placements to relevant supervisors and departments.
* To organise and prepare induction arrangements for foundation doctors.
* To collaborate and communicate effectively with other stakeholders to ensure delivery of relevant aspects of the clinical education teaching portfolio.
* To prepare and assist in the setting up of seminar and skills rooms for relevant meetings.
* To support the Postgraduate Admin Coordinator and Medical Education Facilitator with the NHSE Quality Visit.
* To be a point of contact for foundation doctors on placement.
* To support effective pastoral care pathways and communicate any pastoral issues with the postgraduate team.
* To attend various education meetings and type up minutes in a timely manner.
Operational
* To communicate and collaborate with relevant stakeholders to identify workforce and capacity needs.
* To monitor and check that adequate stocks of equipment and consumables are available for training.
* To organise and facilitate appropriate meetings.
* To work closely with departments across the organisation to negotiate and coordinate support for delivery of relevant training programmes.
* To work flexibly across sites if needed.
* To provide reception cover as needed for the clinical education centre.
Additional Responsibilities
* To observe the provisions of and adhere to all Trust policies and procedures.
* To actively participate in the appraisal process to identify personal development needs.
* To attend Trust Statutory and Mandatory training sessions as required.
* To comply with relevant policies and procedures and health and safety at work legislation.

Qualifications
Essential criteria
* GCSE level C (level 4-9) or equivalent in English and Maths.
* Appropriate training to use Microsoft software packages.
Knowledge and Experience
Essential criteria
* Experience of working in a busy office environment.
* Administrative experience in a healthcare or educational setting.
* Experience of dealing with information of a confidential / sensitive nature.
* Experience of using Microsoft office packages.
Skills
Essential criteria
* Ability to work independently with a high level of accuracy.
* Ability to prioritise workload and work to deadlines.
* Ability to communicate effectively both verbally and in written formats with a range of stakeholders.
