Scheduler & Planning Administrator
Location: Eastleigh
Hours of work: 22 hours per week between Monday and Friday
Salary: £14 to £14.50 per hour
Duration: This is a temporary ongoing position for at least 12 weeks – this will then lead to a 12 month FTC for the right candidate.
As a Scheduler/Coordinator, you will be responsible for acting as a key point of contact for external contractors and suppliers. Providing day to day administrative support for the team, this includes liaising with the trade’s teams, raising requests for jobs to be completed, raising purchase orders, and invoicing.
Key duties include:
1. To be a main point of contact for clients via email and on the telephone.
2. To be responsible for raising works orders, taking accurate information, and requesting work to be completed.
3. Raising purchase orders and facilitating the approval of invoices.
4. To schedule in work to be completed, liaising with the customer and the contractors and Trades team.
5. Liaise and engage with customers to schedule in appointments and to keep them up to date. Where there could be possible legal implications ensure there is a strong emphasis on providing an excellent customer service.
6. Resolve day to day customer queries relating to contractor works.
7. Raise queries and issues relating to invoices and/or work claimed with the relevant parties.
8. To create reports for management.
9. To complete general administration.
The ideal Scheduler/Coordinator will have/be:
1. Experience of prioritising workload in a busy working environment.
2. Excellent demonstrable communication, administration and customer service skills working with customers and managers at all levels.
3. Excellent level of understanding of Microsoft packages and in-house database systems.
4. Knowledge of raising and scheduling jobs.
5. Organised, efficient and a team player.
