Here at Action For Humanity (AFH), we are looking for an Executive Assistant to the CEO to join us in our Manchester head office. You will join us on a full-time basis and in return you will receive a competitive salary of £35,000 to £40,000 per annum (depending on experience).

The Executive Assistant to the CEO will act as a strategic partner to the CEO, overseeing the daily operations of the CEO’s office, ensuring effective organisation and follow-up on the CEO’s initiatives, and providing comprehensive support to enhance productivity. The ideal candidate will excel in managing a fast-paced, dynamic environment, possess exceptional communication skills, and have the ability to keep up with the CEO’s numerous initiatives while ensuring seamless execution of tasks and meetings.
Your key responsibilities will include the following:
1. CEO Agenda Management & Coordination:
o Manage the CEO’s daily, weekly, and long-term schedule, ensuring meetings are well-prepared and objectives are clear.
o Organise meetings, both internal and external, with comprehensive agendas, briefing notes, and timely follow-ups.
o Track the CEO’s commitments and ensure timely execution of deliverables and deadlines by coordinating with other executives and team members.
2. Task Management & Follow-Up:
o Keep track of all tasks assigned by the CEO and ensure follow-up and completion in a timely manner.
o Maintain a task tracking system that ensures all team members are aware of their responsibilities and deliverables.
o Monitor and remind the CEO of pending matters, offering solutions or alternatives where necessary.
3. Communication & Liaison:
o Serve as the primary point of contact between the CEO and internal/external stakeholders.
o Draft communications, emails, and reports on behalf of the CEO, ensuring accuracy, clarity, and alignment with the CEO's tone.
o Translate verbal discussions into actionable plans, ensuring that conversations lead to measurable outcomes.
4. Project Coordination:
o Oversee the execution of key initiatives launched by the CEO, tracking progress, identifying risks, and coordinating with relevant teams to ensure deadlines are met.
o Act as a project manager for special initiatives, ensuring they align with the CEO’s vision and objectives.
5. Meeting Preparation & Documentation:
o Ensure the CEO is well-prepared for all meetings by gathering necessary background information, preparing briefing notes, and identifying key action points.
o Attend meetings alongside the CEO, take detailed minutes, and ensure decisions are documented and communicated effectively.
6. Strategic Support:
o Provide high-level support in strategising and decision-making processes by offering research, insight, and feedback.
o Anticipate the CEO’s needs, offering proactive support in identifying challenges, opportunities, and solutions.
7. Process Improvement:
o Develop and implement processes to improve the efficiency and effectiveness of the CEO’s office.
o Continuously review and optimise systems for scheduling, communication, and project management.
8. Governance and Compliance support:
o Work closely with the Chief Governance Officer to manage all legal and compliance aspects of the organisation.
o Attend board meetings and take notes and provide updates to the Chair as and when needed.
o Liaise with external stakeholders relating to legal, compliance and governance issues.
9. Administrative Support:
o Handle general administrative duties, including managing travel arrangements, expense reporting, and other logistical matters.
o Serve as the gatekeeper to the CEO’s time, ensuring that high-priority matters receive appropriate attention.
What we are looking for in our Executive Officer to the CEO:
1. Education:
o Educated to Degree Level or equivalent in a relevant field such as Business Management, Law, International Development, etc.
o Executive Assistant qualification or certification.
o Knowledge of Legislation and regulations on governance relating to Charities/Not for Profit organisations.
2. Experience:
o Significant experience in an executive assistant, operations management, compliance or similar role supporting C-suite executives.
o Sound understanding and experience of supporting compliance with corporate governance within commercial and charity sectors.
3. Skills:
o Excellent organisational, multitasking, and time-management skills.
o Strong verbal and written communication skills.
o Excellent interpersonal skills with ability to work and build relations with a wide range of people, remaining tactful and diplomatic, managing senior relations and conflicting interests.
o Proficiency in project management tools and techniques.
o Exceptional attention to detail and the ability to follow through on multiple concurrent tasks.
o Proactive and self-motivated, with the ability to anticipate the CEO's needs and act accordingly.
o Ability to handle confidential and sensitive information and material and to act with discretion at all times.
4. Languages:
o English essential.
o Other languages such as Arabic and Urdu desirable.
