Key Responsibilities
* Administrative Support: Manage attorney time entries, process expense reports, schedule conference calls, and arrange travel using web-based applications. Conduct online research and handle various project-based tasks, including providing personal assistance as needed.
* Cross-Department Collaboration: Work daily with various departments across the Firm to ensure seamless support for our legal teams, including services like accounting, general services, and meeting coordination.
* Legal Document Management: Use software (Microsoft Office 2016, PowerPoint, Excel, Adobe Acrobat, etc.) to prepare, format, and finalise documents with a high level of accuracy and attention to detail. Organise and maintain both paper and electronic files in line with Firm policies, using our internal systems.
* Client Service and Teamwork: Act as an essential team player, ready to assist the broader Secretarial team to meet objectives. Build strong, supportive relationships with peers, attorneys, and clients, and proactively anticipate needs.
* Professionalism: Display professionalism and discretion in all interactions. Adhere to Firm policies and handle sensitive information with confidentiality and care.
Qualifications
* Strong Communicator: Excellent written and verbal communication skills with a customer-focused mindset.
* Organised and Detail-Oriented: Skilled in managing multiple priorities, with strong attention to detail and adaptability in a fast-paced environment.
* Technology: Proficiency in MS Word, Adobe Acrobat, PowerPoint, and Excel is preferred, along with a willingness to learn new software.
* Dependable: Reliable attendance and punctuality, with flexibility for occasional overtime as needed as well as being a continuous team player.
