JobSummary:
The collectionsteam carries out service charges collections and arrears escalationservice within the leasehold servicesteam.
To provide acomprehensive support service within the Leasehold Servicescovering the full range of administration support activity andproviding an efficient and effective Leasehold transactionalservice.
To work withcolleagues in the team to deliver excellent customer service and tocontinually improve servicedelivery.
To help processand monitor a range of serviceactivity.
KeyDuties/Accountabilities:
To distributeincoming correspondence in accordance withprocedures.
Respond totelephone enquiries securing the best service and outcomes forcustomers.
To handle arange of internal and external enquiries in a polite andprofessional manner and referring to the appropriate officer asrequired.
To providesupport to senior staff on a planned or adhocbasis.
To arrangeservice meetings book and prepare rooms prepare and circulateagendas and papers provide and circulate minutes and monitor followup actions asnecessary.
To set up andmaintain file management systems including archiving storing andretrievingdocuments.
Maintain alibrary of reference documents for use by LeaseholdServices.
Act as a pointof contact within the service area for IT issues. Arranging ITsystems access for staff andcontractors.
To comply withmeasures to protect the confidentiality of information inaccordance with London Borough of Tower Hamlets policies andprocedures including the duties outlined by the Data ProtectionAct.
To compile andprocess information regarding revenueaccounts.
To raise ordersand pay invoices on behalf of the service as and whenrequired.
To producestatutory legal documentation (e.g. Section 125 Notices) and getthem checked by a senior member ofstaff.
To contributetowards achieving the Service s performancetargets.
Carry out otherreasonable ad hoc duties to support the Service which arecommensurate with the expectation of the post as directed by theline manager or the Head ofService.
Demonstrate useof systems and processes to other service members and provideassistance with usingthem.
Monitorprogress of work processes. This includes creating basic reportsand highlighting issues to the TeamLeader.
To beresponsible for the administration of Leasehold Services creditcards and travel cards and ensure that their use falls withinLondon Borough of Tower Hamletsguidelines.
EssentialExperienceRequired:
Administrationexperience.
Experience ofworking todeadlines.
Experience ofworking in a customerfacingrole.
Knowledge andunderstanding of diverse needs of residents andstaff.
Knowledge of MSOffice applicationsbasic.
Additionalinformation tonote:
To attendmeetings outside normal office hours as and whenrequired.
Work flexiblyto undertake role to meet the needs of the service e.g. working atdifferent locations.
