The Operations & Social Media Coordinator role is a key role in helping the Operations department as a whole, manage the day-to-day administrative needs in all areas of this support service at the Harwell site. From a social media perspective, the role would work with the Investor Relations & Public Relations (IR & PR) Manager to coordinate company social media activities and support internal communications. This role will naturally develop and progress into other areas as necessary and/or as the employee wishes to show an interest in evolving. Operations Coordinator key responsibilities include : General Administration: Reception Duties; Act as the first point of contact for visitors to site, liaising with relevant hosts and assisting where needed. Assist with administrative duties that will include formulating scopes of work, raising purchase requisitions, invoice verification, filing, scanning and archiving. Using in-house systems including Veeva (Document QA and training), SAP (Expenses, Procurement, Requisitions & Invoicing), Ultimo (Operations system databases), Microsoft Office Applications (Excel, Word) Collection and distributing incoming post. Acting as the shared point of contact along with the Laboratory Services team for all outgoing post requirements. Keeping office stationery well stocked at all times and purchased upon best available terms. Managing lunchroom snacks and drinks for employees ensuring drinks and milk are available at all times. Preparing Boardrooms for monthly Townhall meetings and encouraging all on-site staff to be in Boardrooms and afterwards for cake in the kitchen Perform any other duties deemed suitable by Operations department, including occasional cover for wider Ops team members. Managing Operations Soft Services: Oversees the management of the facilities soft services ensuring all activities are well coordinated with other functional groups, including health & safety compliance Proactively develops areas of responsibility, interacting with all relevant departments as required. With meeting chair set agendas and act ad minute-taking for Operations led meetings; lab/ops, Health & Safety meetings and other Ops team meetings as requested. Assist with office and capex budgets and monitor spending against forecast. Assist with evaluating and optimizing processes, services and new products for maximum quality, cost effectiveness, selecting and negotiating with key vendors. Assist with holiday and absence cover for site Facilities Management. Support the Operations Manager in Facilities administration which will include assisting with weekly fire alarm testing, arranging/hosting office equipment maintenance, filing of key compliance documentation and managing site cleaning contractor. Company social media support: Work with IR & PR Manager to co-ordinate and manage company social media channels. Plan company social media calendar, coordinating with internal teams as needed to develop content and copy, ensuring that content is both creative and accurate. Use appropriate design platforms to create social media content and creatives (e.g. Canva, PowerPoint). Monitor social media for responses and mentions, and work with IR & PR Manager to develop appropriate responses. Develop quarterly social media reports, summarizing channel results and performance, and making recommendations for future content approaches. Research trends and new approaches, where required, to keep content fresh and meaningful. Internal communications: Work with IR & PR Manager and HR Team on internal company communications including supporting development of company newsletters and PowerPoint slides for Townhall meetings, as needed. Coordinate with internal teams to keep company internal news pages up to date. Other responsibilities of the role Assist Executive Assistant with organising catering for site-wide events and/or team/department meetings as requested. Participate as part of operations fire emergency team, including assisting the evacuation and investigation process. Support health and safety compliance for areas of responsibility (office and facilities) ensuring all documentation is up to date and correctly filed. Reliability and strong independent judgment to make decisions respond quickly in emergencies and adapt to meet deadlines in a fast-paced environment. Good knowledge of services in facilities environments and ability to launch new initiatives. Qualifications and or experience Demonstrable interest in communications, marketing, business or related health / science field or equivalent experience. Has excellent soft services knowledge & Facilities skills required to fulfil the role of Operations Coordinator. Excellent awareness of health & safety legislation relevant to the role. General understanding of social media. Innovative thinker and creative problem solver, shows an entrepreneurial spirit. Strong attention to detail. Superb internal and external communication skills (verbal, written, listening), including with key stakeholders and senior management. Collaborative nature with proven ability for excellent customer service and achieving buy-in from other functional groups. Relevant background in facilities services specialising in soft services. Excellent attention to detail with the ability to work in a methodical and logical manner. Ability to manage own workload and work effectively on your own and as part of a team. Excellent understanding of Microsoft office programs incl. Powerpoint and Excel. Demonstrate flexibility in working with teams, able to adapt to different needs and different working styles.
