Compliance and Administration Officer

The post holder will support the Social Enterprise’s Leadership team to co-ordinate Administrative, Compliance and Quality Assurance procedures to support Langley’s growth plans and to meet contractual obligations associated with the Education Skills Funding Agency (ESFA), OFSTED, prime funding partners, and professional bodies.
Key Accountabilities:
* Support Langley’s Strategic Goals: Contribute to the success of Langley’s Social Enterprise and Apprenticeship Strategy by ensuring effective apprenticeship administration and compliance processes.
* Apprenticeship Administration: Oversee the administration of apprenticeships, ensuring all compliance processes are followed for both new and existing learners. Provide support for quality assurance procedures, tracking learner progress.
* Regulatory Compliance: Work alongside leaders to ensure that processes align with Government funding rules and Quality Assurance standards. This includes but is not limited to: ESFA funding rules, ILR data collection, ESFA Accountability Framework, and Technical Funding Procedures.
* Apprenticeship Enrolment: Lead the apprenticeship enrolment process, serving as the central point of contact to ensure a smooth onboarding experience for new apprentices, employer contracts, and associated checks.
* Data Management: Oversee data entry and management across multiple platforms (PICS, Smart Assessor, BKSB) to maintain accurate records for employers, learners, and curricula. Update contracts and learner training plans as necessary.
* Funding Claims: Collaborate with the Administration, Finance departments, and Apprenticeship Training Managers to ensure timely submission of monthly Individual Learner Record (ILR) funding claims. Ensure these claims are verified through internal quality assurance processes (FIS and PDSAT).
* ILR Submission Support: Work with leaders and teams to review ILR submissions, address any errors or warnings, prepare reports, and support the internal quarterly audit process to ensure efficient utilization of public funding.
* Audit Preparation: Assist the leadership team in preparing for both planned and unannounced audits. Ensure that documents and information are accurately stored in SharePoint and ready for audits from various sources.
* Project Support: Help leaders with new projects, including coordinating meetings, document development, and engaging with stakeholders across England.
* Operational Support: Coordinate and update internal schedules, Qualification Trackers, learner, and employer files. Ensure operational plans are aligned to meet the requirements of unannounced and planned audits, from awarding bodies, governmental bodies, and contractual obligations.
* Apprenticeship Delivery Support: Support Langley Associates responsible for apprenticeship delivery, helping with a variety of administrative duties to manage learner and employer onboarding, compliance, and quality assurance processes (skills scans, off-the-job monitoring).
* Compliance Visit Support: Provide assistance during unannounced compliance visits by the ESFA and other government bodies.
* Document Control: Ensure corporate guidelines are adhered to before issuing any documents (learner and employer packs, contractual documents) externally.
* Marketing & Business Development: Support the marketing and business development teams with website updates, employer engagement, bid preparation, and promotional activities.
* Operations & Risk Support: Assist leaders with operational and risk management duties related to the Company’s facilities, health and safety, and concerns raised by the Social Enterprise department across training centres.
* Administrative Support: Provide general administrative support, including assisting with external learner systems, portals, and other duties as needed by the management team.
* Meeting Support: Attend management meetings, document minutes, provide reports, and follow up on action items.
* Process Improvement: Contribute to the continuous improvement of existing systems and processes to support Langley’s growth aspirations.
Qualifications:
* GCSE A-C, relevant professional qualification or equivalent in English.
* Demonstrable CPD (Management Information Systems, ESFA funding rules, Apprenticeships Systems for monitoring and tracking apprentices)
Experience:
* Experience in the Education and Training Sector with demonstrable duties associated with ESFA Funding, Compliance, and Administration.
* An understanding of business requirements.
* Working to deadlines.
* Excellent communication with a variety of people, working with all levels of our business.
* Experience working on my own initiative and as part of a team.
* Good PC skills including Microsoft Office applications and other relevant software.

Additional Requirements:
* From time to time there may be a requirement to travel to other training sites.
* This role does require the post holder to be an Essential Car User, hold a full UK driving licence.
