This is an exciting opportunity to work collaboratively with the MFMC leadership team to coordinate safe and effective clinical pathways with a focus on quality improvement. This is a 6 month fixed term contract with the potential to extend.
Main duties of the job
The post holder will be responsible for providing operational support to the Medway Fetal and Maternal Medicine Centre (MFMC), a tertiary-level, specialised service. They will collaborate closely with the clinical MFMC team to coordinate clinical pathways with referring centres and effectively manage and oversee specialist clinics, being a key point of contact within the Local Maternity and Neonatal System (LMNS). They will ensure there is clear and effective communication within this network including the coordination of weekly regional multidisciplinary team (MDT) meetings. They will also be responsible for the maintenance of comprehensive service delivery databases and will coordinate effectively with internal as well as external services on behalf of the MFMC.

Job Responsibilities
Key Responsibilities:
Communication in the MFMC:
1. Establish and maintain an adequate system to prioritise and respond to all incoming verbal, written and electronic correspondence to the MFMC, ensuring patient related issues are dealt with as a matter of urgency.
2. Be a point of contact for patients and other services within Medway NHS Foundation Trust as well as other trusts and organisations.
3. Support and oversee the service wide generic email inbox and actioning all incoming emails, referrals, results or patient enquiries.
4. Be a direct contact for telephone queries by patients, clinicians and referral centres utilising professional communication skills.
5. Handle sensitive and confidential information regarding patients and members of staff, behaving in a discrete and professional manner at all times on behalf of the Fetal Medicine Consultants and Lead Midwife.
Management of MDT and specialist activity:
1. Coordinate and manage the booking of specialist clinics within the MFMC, ensuring clear and efficient communication with patients, as well as internal and external clinicians.
2. Coordinate weekly regional MDT meetings and maintain a clinical database of patient management plans contemporaneously.
3. Circulate agenda and collate relevant information to be taken to the meeting. Liaise with all relevant departments to ensure that all test results and other relevant information is ready in preparation for presentation at each meeting.
4. Accurately and contemporaneously record outcomes and treatment plans as agreed at the meeting.
5. Collate all neonatal alerts for high risk pregnancies on a daily basis at the request of the fetal medicine team and maintain a shared excel database ensuring effective and timely circulation of clinical care pathways.
6. Maintain a specific folder in a shared drive that contains all relevant reports, investigations and completed alerts.
7. Liaise and collaborate with the senior clinical team on delivery suite to ensure that all neonatal alerts are uploaded onto the electronic clinical systems.
8. Liaise with senior administrators and the clinical team to ensure appropriate sharing of data on a timely basis to enable safe clinical pathways.
9. Maintain a comprehensive and accurate database reconciling all referral information for specialist commissioning.
10. Support the senior sister in audit of commissioning data for validity ensuring that all relevant datasets are accurate and submitted for senior review within agreed timeframes.
11. Actively engage with the performance statistics, targets and priorities set within the department.
Leadership:
1. Support the Service Manager to ensure that effective processes and procedures are in place to collate, monitor and track performance within the department.
2. Work with the Service Manager to ensure optimal operational performance including the development of efficient and effective systems and processes.
3. Escalate issues of concern to the Service Manager and where necessary meet with stakeholders to discuss concerns and capture agreed remedial actions.
4. Provide pathway co-ordinator cover when there is annual/sick leave.
Person Specification
Qualifications
Essential:
1. GCSE A* - C, or Level 2 Functional skills.
2. Holds a Level 3 Vocational Qualification (NVQ or Diploma) in Healthcare or able to demonstrate equivalent knowledge and experience.
3. Demonstrates the capability to commit to the development of the level 3 role.
4. Can demonstrate previous experience as a band 2 level or equivalent.
