Position
An opportunity has arisen for an Executive Assistant based at Afton House, Ailsa Hospital on a fixed term/secondment basis for 10 months.
What you will do:
As an experienced Executive Assistant you will provide a comprehensive business management and service development support and will be responsible for the design, development and maintenance of a wide range of administrative and support services to the Director, Deputy Director and Assistant Director of Public Health.
You will establish effective communication processes and act as a liaison between the Director of Public Health’s office and other parties, internal and external to the organisation, including coordination and production of materials in a professional, effective and confidential manner. You will be responsible for the design, development and maintenance of a wide range of administrative and support services to the Director and Deputy Director of Public Health.
You will assist the Public Health Business Manager with the smooth running of a busy department, by deputising to lead manage and develop the full administrative and clerical (A&C) function. You will be a key player within the Department projecting a positive, professional image for the Director and their Department and to act as first point of contact responding to enquiries from a range of contacts internal and external to NHS Ayrshire & Arran.

Knowledge, training and/or experience required to do the job:
With a degree in Business Administration or equivalent administrative experience, you’ll have an extensive range of secretarial, administrative and organisational skills. With excellent verbal and written communication skills, coupled with a pragmatic and common sense approach, you will effectively manage a number of simultaneous tasks working autonomously with minimal direction. You will demonstrate an all-round professional attitude with the ability to allocate and prioritise workload to ensure deadlines are achieved especially when under pressure. Minute taking experience as well as a sound working knowledge of Microsoft Office Packages is essential.
A hybrid model of working will be supported.
