Overview: An organisation established by the Department for Transport is seeking a Project Support Officer to assist with the coordination, tracking, and reporting of a transition/integration programme. This role is crucial in laying the groundwork for smooth programme execution, significantly impacting the overall success of the programme outcomes.
What you'll need to succeed:
1. Maintaining the project management environment including task, risk and assurance registers.
2. Handling any issues that arise.
3. Maintaining the programme intranet area.
4. Maintaining comprehensive programme documentation, plans, and reports.
5. Working with and supporting project leads to establish the setup of reporting requirements and governance.
6. Analysing risks and opportunities and handling them appropriately.
7. Attending meetings and assisting with taking and distributing notes, minutes, and tracking the states of actions.
8. Coordinating finance and insurance welcome pack, policies, and workshops with expert leads.
9. Coordinating timing and attendees.
10. Overseeing the transition email inbox and ensuring requests are being forwarded to the correct person and functions.
11. Building stakeholder relationships - working across internal and external teams to manage expectations.
12. Ensuring standards and requirements are met through conducting quality assurance tests.
13. Assisting the director with administrative tasks.
14. Undertaking ad-hoc tasks delegated by the director.
Skills and experience required:
1. Proven project experience supporting a large programme of work in a government organisation.
2. Ability to create and maintain risk registers.
3. Not looking for a project manager.
4. Ability to develop and maintain project plans.
5. Ability to maintain project documentation, including meeting minutes, status reports, and project deliverables.
6. Experience with project management software tools and knowledge of project management methodologies.
7. Experienced in dealing with senior stakeholders.
