Job Purpose
Reporting to: Head of Project Delivery (Transformation)
To achieve the University’s long-term strategic goals, we are establishing a Service Excellence Programme to significantly improve our student and staff experience. This multi-disciplinary programme team will span across Transformation, People & OD, Finance, Planning, Insights & Analytics, and Programme Delivery to activate a programme of change with substantial impact across the University of Glasgow.

Job Purpose
This Project Coordinator role will report to the Head of Project Delivery (Transformation) within the Programme Delivery directorate and alongside a Senior Project Manager, working in partnership across Transformation and Information Services. You will assist with providing strong Programme Management for oversight and drive the work of the wider team, from a project management perspective, who are developing the systems and services to enhance our staff and student experience.
Main Duties and Responsibilities
* Act as main point of contact in the delivery of effective projects and provide clear project management advice to colleagues and relevant others, filtering issues and seeking resolution, planning, prioritising and adjusting project activities as required.
* Deliver a range of project services utilising recognised project management methodologies including Agile to maximise service quality and continuity.
* Coordinate the preparation, delivery, updating and monitoring of project plans, to a clear brief, using established formats and standard software packages to determine short-term priorities, planning and scheduling of project activities for weeks ahead to ensure efficiency.
* Research, collate, organise and edit material for inclusion in project correspondence including; ad-hoc papers, summary documents and project reports (in line with established reporting cycles) to a clear brief using established templates/standards where available and create non-standard formats as required.
* Be responsible for the organisation and provision of coordinated support to the project, project boards and working groups, including the coordination of meetings and attendees, agenda setting, minute preparation and other related papers and executing actions accordingly contributing towards the achievement of project objectives.
* Manage project RAID log(s) ensuring that mitigations are owned, actioned and progressed.
* Manage the project(s) Benefits Realisation Plan ensuring that actions are owned and progressed.
* Support the design and production of quality communication materials as required to ensure relevant parties receive the appropriate information relative to purpose.
* Set up and co-facilitate workshops, developing appropriate feedback mechanisms.
* Resolve routine issues, applying sound judgement based on experience, largely without reference to others, following well-established processes or procedures.
* Analyse, present and draw conclusions from relatively straightforward data and information, identifying trends and patterns.
* Deputise for the Project Manager or Senior Project Manager at meetings as appropriate.

Knowledge/Qualifications
Essential:
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s). Or Scottish Credit and Qualification Framework level 8 (SVQ 4, HND) or equivalent, and experience of personal development in a similar role.
A2 Foundation level in an appropriate project management qualification such as PRINCE2 or Agile.
A3 Basic understanding of planning methodologies and tools.
A4 Understanding of the full project lifecycle.
Desirable:
B1 Professionally qualified in project management.
B2 Awareness of Higher Education organisations, purpose, infrastructure.
B3 Demonstrable knowledge and understanding of the project lifecycle.
Skills
Essential:
C1 Excellent written communication skills to prepare and present complex information and produce clear project management documentation.
C2 Excellent oral communication, interpersonal and influencing skills to interact and collaborate effectively with a range of stakeholders.
C3 Robust, flexible resilient approach to different stakeholders in a complex and challenging environment.
C4 Ability to organise documents and data in a clear and simple way.
C5 Strong analytical and problem-solving skills.
C6 Competence in applying Microsoft Office suite including collaborative tools in O365 with emphasis on SharePoint.
C7 Ability to adapt personal working style across multiple stakeholders working independently, leading on activities and contributing as a team-player.
C8 Strong ability to quickly embrace and learn new concepts, techniques or methodologies.
Desirable:
D1 Creative approach to data and reporting presentations.
D2 Mixed skillset in both business and technology change.
Experience
Essential:
E1 Previous experience of working in a similar PMO project environment.
E2 Experience of administration and organisation of team libraries and workshops.
E3 Proven track record in the delivery of internal stakeholder communication and engagement activity.
Desirable:
F1 Experience of working in HE Sector.
F2 Experience of problem solving and development of innovative both technical and operational solutions.
Terms and Conditions
Salary will be Grade 5, £26,038 - £30,505 per annum.
This post is full time (35 hours p/w) and fixed term for up to 30 months from start date.
