We are seeking a highly organised, proactive and confident individual to fill the role of an Executive Administrative Assistant with office support on a part-time temporary basis.
This position is ideal for someone who excels at multitasking, is efficient at problem-solving, and is happy to be the go-to person within the office.
Key Responsibilities:
* Office Management:
o Oversee and manage the general office environment, ensuring a smooth and efficient workplace.
o Front of House duties when expecting visitors or clients.
o Coordinate office supplies and equipment – including ordering and maintaining inventory while keeping track of office spend and making cost-effective decisions.
o First point of contact for office inquiries.
o Assisting with event setup and ordering of catering when required.
o Handle incoming and outgoing post, deliveries, and couriers and distribute in a timely manner.
o Ensure office complies with Health and Safety regulations and best practices.
o Facilities and maintenance management for the office – liaising with external parties for site maintenance and services.
* Administrative Support:
o Provide comprehensive administrative support to the teams when required, this includes but not limited to – researching and booking travel arrangements, coordinating quarterly incentive activities, CV formatting, and general ad-hoc tasks.
o Managing meeting room bookings for the office through Outlook.
o Manage group inbox and distribute emails to the relevant people.
* Personal Assistant Duties:
o Calendar management for CEO and Managing Partner – Scheduling meetings while coordinating with complex diaries.
o Managing individual's expenses, this involves uploading and submitting monthly.
o Organising travel arrangements, including flights, accommodation, and train tickets.
Requirements:
* Technical Skills - Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
* Communication – Strong communication and interpersonal skills.
* Background Experience – Proven experience as an office manager, administrative assistant, PA or similar.
* Attention to Detail – Accuracy and high attention to detail in all aspects of the role.
* Organisation Skills - Strong organisational and time management skills, with an ability to work to tight deadlines and to be flexible to support the demands of the business.
* Multitasking – The ability to juggle multiple tasks and prioritise effectively.
* Personal strength – Must have a proactive, can-do attitude with a strong work ethic and is motivated to achieve results.
Estimated Salary: £35,000 - £40,000 per annum
