About the role: As Facilities Coordinator, you will be ensuring the smooth operation and maintenance of multiple office locations, therefore needing to travel between our office nationally as and when needed. You will be overseeing the day-to-day facility needs, including safety, cleanliness, and functionality of work environments across various sites. Additionally, you will be responsible for coordinating office access, parking procedures, DSE assessments, and maintaining first aid and fire warden registers. About you: You have strong organisational skills, allowing you multitask your duties ensuring all workspaces are compliant with the health and safety regulations of each office building. In addition to this, you have great communication skills, you are able to coordinate with vendors and service providers, proactively assisting and managing with office refurbishments, office closures, and the integration of new locations following acquisitions. Being able to organise a productive workspace, you are able to enhance the efficiency of our business operations, contributing to Attivo's business targets. Key Responsibilities include: Oversee the day-to-day operations of multiple office locations, ensuring all facilities are functioning efficiently. Conduct regular office inspections, arrange maintenance, and repairs to maintain high standards of safety and cleanliness. Ensure compliance with health and safety regulations. Manage relationships with third-party vendors and service providers, and contractors. Assist with the coordination of office refurbishments, new office setups and office closures in collaboration with internal teams and external contractors. Maintain an inventory of office supplies, furniture, and equipment across all locations. Being an intermediary between nationwide offices and head office for all office supplies. Assist with co-ordination of office access and parking procedures across all offices. Provide assistance for any facilities-related issues, providing prompt resolutions to any problems. Assist with the integration of new offices from acquisitions. Assist in annual health and safety reviews and following up any actions. Supporting in co-ordination of DSE assessments Maintaining first aid and fire warden registers for each office. Essential skills and experience Strong organisational and multitasking abilities. Excellent communication and interpersonal skills. Ability to manage vendor relationships. Knowledge of health and safety regulations and best practices. Ability to work independently and in a team, with a strong focus on customer service. Able to travel to our offices nationally when needed. Desirable skills and experience Proficient in using facility management software and tools to track maintenance, inventory, and tasks. Basic understanding of budgeting and expense management related to facility operations.
