Job Description:
We are looking for an enthusiastic person, preferably with some experience in learning disabilities, management, charity, funding, and simple monthly accounting. This is a new paid role funded by the National Lottery Community Fund for 2 years, allowing Busydays to grow and become fully self-sufficient. The current voluntary CEO is retiring, and a new special person is required to continue the good work of providing a fulfilling day.
Busydays is a small day centre supporting between 12 and 20 people daily. You will interact regularly with the people we support and with parents/carers when visiting the centre. It is a fun place to be, and everyone wants to chat.
You will lead a strong team of full-time and part-time staff, with bank staff on call and agency workers used as needed. Added benefits include an Employee Assistance Plan helpline with advisers/assistance in times of need.
Responsibilities include:
1. Applying for funding opportunities and writing bids.
2. Oversight of the centre, including recruiting, training, monitoring, and supporting staff, including DBS checking and follow-up.
3. Supporting the Day Service Manager in the current position for 1 year, previously as a support worker in Busydays charity.
4. Regular meetings during the working week with the Day Care Manager.
5. Leading the promotion of the charity, liaising with other organisations and charitable bodies.
6. Liaising with the accountant to provide hours worked for payroll and payment.
7. Leading/representing the charity in dealings with the Charity Commission and local authorities when required.
8. Maintaining adequate records and providing full reports every 3 months, along with statistics for the National Lottery and other funding bodies.
9. Attending trustee meetings, usually in the evening, which can be done virtually.
10. Keeping up to date with any new legislation and price uplifts from local authorities, and rewriting policies as necessary.
11. Occasional meetings with the onsite buildings manager and/or caretaker.
12. Conducting staff interviews, appraisals, disciplinary issues, and some supervisions.
13. Managing a complaints process approved by the trustees.
14. Overseeing case records for monitoring and reporting to any authority.
15. Ordering stock, prizes, and birthday/Christmas presents from charity outlets as much as possible.
16. Arranging parent/carer coffee mornings/support groups.
17. Searching for new opportunities and funding.
18. Planning various activities during the week (Yoga, Music, Dance, Drama) with professionals attending.
19. Arranging special activities/days out, gaining quotes, and assessing feasibility against costs and risks.
20. Jointly preparing care plans for new people starting to be supported by Busydays and reviewing care plans with the Day Service Manager.
21. Liaising with local colleges/universities for training placements for social work and health and social care students.
22. Preparing monthly accounts for the county council service users and for parents/carers, ensuring timely submission and collection.
23. Managing monthly payments to staff, activity teachers, transport companies, and other agencies as required, keeping a close eye on all finances.
24. Expanding the number of people being supported at Busydays and securing further funding to ensure continuity.
