Main Duties and Responsibilities
1. Overall
o Support the firm in its intention to continually grow and develop the practice in all areas.
o Strive to provide excellence of service to all clients.
o Take a pro-active approach to the work carried out for clients.
o Be alert to any problems being experienced by clients and react positively to these.
o Take responsibility for noticing client care problems and for solving these.
o Work towards clear objectives that support fee earners in the twin aims of generating and delivering client work.
o Take part constructively in the performance review process and undertake agreed training and development activities.
o Adhere to office and compliance procedures including health and safety.
2. Daily Duties
o Opening incoming mail and scanning to staff.
o Collection and preparation of outgoing mail.
o Providing advice to staff members on the most appropriate method of mail delivery including organising couriers and doing hand deliveries.
o Scanning and copying documents in accordance with the instructions provided.
o Distribution and tracking of unreferenced mail.
o Creating new client paper files.
o Data input in relation to the processing of closed files prior to sending to and uplifting the physical files from off-site storage.
o Data input in relation to the processing of client documents prior to sending to and uplifting the physical documents from off-site storage.
o General maintenance of all MDFs including paper refills, IT support and supply orders.
o Updating of library materials.
o Other ad hoc duties as required, including going to the Bank and Post Office and local hand deliveries.
o Providing reception cover when required.
