The Customer Service Delivery (CSD) Team provides commercial and contract management services to both our internal and external partners, working collaboratively to ensure the efficient delivery of a diverse programme of work within CSD Operations. The team primarily focus on reactive and maintenance works. Sound good? We’re looking for a focused, organised individual to join us as a Commercial Technical Administrator (12 months fixed term/ secondment). You’ll be offering PA services to the General Manager as well as administrative support to the CSD Commercial Team. What you’ll do You’ll provide essential management assistance to the General Manager and the wider Commercial team, including organising meetings, booking rooms, coordinating away days, arranging catering and travel where necessary. You’ll also prepare and distribute agendas, minutes, and supporting materials to ensure meetings run smoothly. You’ll deliver high-quality administrative support to the CSD Commercial team by managing meetings, preparing documents and presentations using MS Office, and maintaining the commercial SharePoint pages, including managing access and document tagging. You’ll also oversee the administration of departmental mailboxes and manage the distribution of key documents. You’ll play a key role in financial processes by chasing payments and purchase orders, working closely with internal stakeholders to ensure contractor payments are made within contractual deadlines. This includes raising and receipting purchase orders using Unifier and FAB systems, as well as liaising with accounts payable for payment processing. You’ll work with both stakeholders and external contractors to obtain missing data for payment applications and help keep variances minimal. You’ll support the reconciliation of team payments against FAB records and maintain the certification register. Additionally, you’ll assist in the delivery of key business reports and analysis to support effective decision-making. You’ll contribute to process and procedure development across the CSD Commercial and wider teams, ensuring all documentation meets Scottish Water standards. This includes keeping Commercial Organograms up to date using Visio. You’ll also support team compliance by managing timesheet administration and ensuring training requirements are met. What you’ll need We’re looking for someone with confident and effective communication skills, along with a strong background in stakeholder management. You’ll need the ability to manage complex situations, solve problems analytically, and support improvements along the way. Strong organisational skills, attention to detail, and the ability to prioritise work flexibly and adaptably are also crucial. You’ll need excellent written and verbal communication skills, with the ability to tailor your approach to suit different situations and audiences. Being a dedicated team player is essential. You’ll collaborate with others to achieve shared goals while being open to learning from your colleagues. Proficiency in Microsoft Excel and standard IT packages is required, and a willingness to learn new systems will help you thrive in this role. A full driving license is also required. The not-so-small print This role will be a Grade 5. If you’re new to Scottish Water, you’ll join us on a starting salary of £29,800. Performance-driven pay progression would then allow you to move through the range to a maximum of £35,760.
