The Project Coordinator will be responsible for overseeing and coordinating various aspects of solar installation projects from start to finish. This includes managing timelines, ensuring coordination between different teams, maintaining accurate project data in the CRM system, liaising with suppliers and installers, and ensuring that all health, safety, and regulatory requirements are met. The role requires strong communication skills, attention to detail, problem-solving abilities, and a solid understanding of the renewable energy sector.
Key Responsibilities:
1. Project Coordination & Management:
o Coordinate the on-ground processes of solar projects from initial planning through to completion.
o Create detailed project timelines and ensure all teams (installers, scaffolding, equipment suppliers) are aligned with delivery schedules.
o Serve as the primary point of contact between the project teams and ensure smooth communication and collaboration.
o Track and ensure timely delivery of project milestones, ensuring that the project stays on schedule.
2. CRM Management & Data Entry:
o Ensure the CRM system is regularly updated with the latest project information, including schedules, team updates, supplier communications, and site data.
o Push teams to maintain accurate and current project records in the CRM to ensure the timely availability of all relevant project data.
3. Supplier and Stakeholder Coordination:
o Establish and maintain strong working relationships with key suppliers and partners including installers scaffolding and equipment suppliers
o Collaborate with suppliers to gather quotations, schedule deliveries, and ensure timely installation of equipment.
o Coordinate between the client, installer, equipment supplier, and scaffolding team to ensure smooth site visits and deliveries.
4. Site Visits & Data Gathering:
o Attend site visits with the installer to gather essential data for CRM updates, cost estimation, and project planning.
o Complete necessary checklists and ensure all required information is captured for accurate cost and project scoping.
5. Health & Safety Compliance:
o Monitor and ensure adherence to health and safety regulations on-site.
o Ensure all required safety documentation is completed and up-to-date for each project.
o Conduct site inspections to ensure proper safety protocols are being followed by all teams.
6. Problem Solving & Decision-Making:
o Use technical judgment and analytical skills to propose alternative solutions to issues encountered on-site.
o Collaborate with the project manager and technical team to arrive at effective solutions for on-site challenges.
o Ensure project issues are flagged early and resolved quickly to minimize delays.
7. Client & Team Communication:
o Develop and maintain strong relationships with customers, particularly on-site facilities managers, to ensure clear communication and high levels of satisfaction.
o Coordinate site visit schedules to align with both client and internal team availability.
o Ensure regular communication between the client, internal teams, and external partners throughout the project lifecycle.
8. Order Placement & Equipment Procurement:
o Gather and review quotations for scaffolding, equipment, and installation materials.
o Place orders for equipment, scaffolding, and materials based on project needs, ensuring that deliveries align with installation schedules.
o Secure approval for placing equipment orders and ensure all procurement is completed on time and within budget.
9. Project Delivery & Timings:
o Responsible for ensuring projects are completed on time and within the agreed-upon budget.
o Coordinate with all teams involved to ensure each project phase is delivered according to plan.
10. DNO Coordination:
o Work closely with the technical team to ensure that all necessary approvals, such as DNO (Distribution Network Operator) permissions, are secured for grid connection.
Requirements
* Education:
o Bachelor’s degree in Project Management, Engineering, Renewable Energy, or a related field (or equivalent experience).
* Experience:
o At least 2-3 years of experience in project coordination or a related field, preferably within the renewable energy or construction sectors.
o Experience with CRM systems and managing project data.
o Knowledge of solar energy systems and installation processes is a plus.
* Skills:
o Strong organizational and time-management skills.
o Excellent communication and interpersonal skills, with the ability to work with diverse teams and clients.
o Problem-solving ability and the capacity to make informed decisions under pressure.
o Familiarity with health and safety regulations and practices.
o Basic understanding of technical aspects of solar installations is advantageous.
o Strong proficiency in Microsoft Office (Excel, Word, etc.) and project management tools.
