A vacancy has arisen for a full-time Ward Clerk to work within AMU Tavy, Thrushel & the new Tamar Medical Receiving Unit.
The successful candidate will have GCSEs 9-4 (A-C) in Maths & English and NVQ level 2 in either business administration or a related subject or equivalent demonstrable experience.
Demonstrable experience working on a reception or within a clerical role is preferable. Candidates should have experience dealing face to face with the public and difficult customers/patients, working within a busy environment, and able to handle telephone and email enquiries.
The post requires an ability to work both independently and as a member of the wider team. Applicants should have a mature and responsible attitude with a good sense of humour, in addition to good written and verbal communication skills.
Working hours are 12-hour shifts Monday - Sunday. Shifts include a variation of days, nights & bank holidays; flexibility is essential.
Weekends, Nights & Bank holidays will be paid at an enhanced rate.
Main duties of the job
To provide a comprehensive multi-faceted administrative function to the ward, supporting Nursing and Medical staff in the smooth day-to-day running of the ward area. This includes ensuring the completion of all administrative and clerical tasks for the medical ward on a daily basis and providing flexible ward admin cover across all medical wards.
Detailed job description and main responsibilities
1. Check patient details on admission and update on iPM / SALUS as necessary.
2. Manage enquiries, including telephone enquiries in conjunction with and under the direction of nursing.
3. Receive results by telephone from laboratories.
4. Maintain hospital notes in accordance with the Plymouth Hospitals NHS Trust policies.
5. Enter admissions and discharges on IPM / SALUS, including ward transfers, clinical transfers, and specialty transfers, updating patient information where necessary.
6. Ensure the bed state is kept up to date on IPM in real-time.
7. Ensure up-to-date front sheets and labels are available in patient’s notes.
8. File reports, ensuring they have been seen and initialled by Medical staff.
9. Ensure availability of case notes (including investigation reports) for all admissions.
10. Trace notes in and out of the ward using the computerised tracing system.
11. Ensure notes are filed correctly when patients are discharged/transferred or taken to bereavement services.
12. Liaise with other departments and secretaries regarding referrals, appointments, and investigations.
13. Notify GP in the event of a patient death.
14. Keep an up-to-date list of all investigations requested on the ward.
15. Keep the ward office tidy and stationery replenished, distribute and redirect mail.
16. Ensure all faults are reported to Estates for repair in a timely fashion.
17. Make up admission packs as appropriate.
18. General use of the VDU for clerical and identification purposes.
19. Photocopying when required.
20. Work closely with medical staff and other members of the disciplinary team.
21. Integrate into the departmental team and relate to patients and families.
22. Request transport as required.
23. Deal with bleep enquiries.
24. Book new and follow-up appointments for patients as required.
25. Ensure notes are available for Clinical Coding following discharge.
26. Other duties as allocated by the Ward Manager/Directorate Support Manager.

Knowledge & Experience
* Demonstrable reception/clerical experience ICT skills.
* Demonstrable clerical/admin experience within a large clinical setting.
Qualifications
* GCSEs 9-4 (A-C) in Maths & English and NVQ level 2 in either business administration or related subject or equivalent demonstrable experience.
* Communication skills, written and verbal, with the ability to demonstrate fluency, clarity, and effectiveness at all levels.
