Duties within the Receptionist role will include: Taking full responsibility for ensuring that all incoming calls are answered in a timely fashion, connected to the appropriate person or contact details given, taking accurate messages. Being a key contact who will go out of their way to find the answer and respond to a customer queries (internal and external) in a professional manner, with any issues escalated in a timely manner to the relevant line manager. Taking responsibility for the meeting room booking system. Ensuring that all meeting requirement requests are fully understood. Ensuring all meeting rooms are serviced correctly i.e., catering/AV/room set up is correct and tidied before a meeting takes place. Printing/collating and preparing packs and ensuring that they are prepared accurately and in a timely manner. Taking responsibility for incoming and outgoing mail and ensure that we have the correct level of credit. Supporting other members of the wider administration team; providing holiday and sickness cover to other disciplines, as required. Pro-actively assisting the Administrator Coordinator, Lead Administrator Coordinator and Executive Assistant in all aspects of project management of one-off and recurring internal/external projects/events, if required. Ensuring all office equipment is in working order and supply levels are maintained. Providing support for any office management duties. Keeping lists up to date (such as site/phone lists/sign in and out systems/fire drills) and uploading promptly to relevant platforms. Essential and Desirable Criteria Skills, Qualifications and Memberships Essential Previous experience in receptionist role Confident communicator and customer service focused. Proficient use of Microsoft Office; inc.
