Legal Assistant in our Conveyancing department, duties include:
• Setting up new files on our CRM system.
• Preparing and sending out Client Care Packs.
• Conflict checks on our client(s) and the other side’s client(s).
• Checking client(s) (and giftors) photo ID and address ID documents are valid and certified correctly.
• Undertaking a video calls with client(s) (and giftors) to certify their photo ID and address ID documents.
• Conducting AML checks on clients (and giftors).
• Conducting Risk Assessments on each of our clients.
• Checking the evidence of source of funds is sufficient.
• Ordering Searches on purchase files.
• Preparing Draft Contract Packs on sale files and sending to the other side’s solicitors.
• Ordering Redemption Statements from the Lender (the bank providing the Mortgage) on sale files.
• Preparing draft Replies to Enquiries on sale files for Conveyancer to check.
• Obtaining quotes for Indemnity Insurance Policies and ordering these.
• Ordering management packs on leasehold properties (e.g. LPE1 and FME1).
• Sending out contracts, transfers and mortgage deeds to clients for signature.
• Telephoning clients to obtain their verbal authority to exchange and making a note on the file to confirm this and notifying the conveyancer of this.
• Copying exchange information onto the original contract in the office and posting it out to the other side’s solicitors together with the memo of exchange.
• Liaising daily with the Conveyancer and working closely with them to ensure all tasks are completed depending on urgency and priority.
• Ensure you follow the instructions of your Conveyancer and complete all tasks the Conveyancer asks you to do promptly and confirm to the Conveyancer one each task has been completed.
• Manging your emails daily to ensure all emails are responded to (on our CRM system) promptly (within 1 working day).
• Manging your telephone messages daily to ensure all phone calls are responded to promptly (within 1 working day) and a note of the call saved on the file.
• Reviewing the traffic lights on your cases daily. Undertaking work – progressing the case on every file which is red or yellow each day.
• Undertake and fully complete all Milestone tasks on our CRM system that relate to your role and ensure you tick them off as complete promptly.
• Regularly update the Conveyancer’s live list by removing cases that have fallen through, been put on hold or completed and adding new cases to the list.
• Call or email estate agents requesting their invoice.
• Call or email estate agents notifying them that keys can been released.
• On sale files immediately after completion - drafting a letter to the other side’s solicitors enclosing the TR1, and listing in the letter any other attachments (e.g. indemnity policy or certificates). Scan a copy of the TR1 and save on the file before posting to the other side’s solicitors.
• Preparing draft completion packs to send to finance department for Conveyancer to check.
• Preparing draft completion statements for Conveyancer to check.
• Preparing draft stamp duty forms on purchase files for Conveyancer to check.
