My client is seeking a proactive and highly organised Lettings and Sales Coordinator to support their Head of Sales and Lettings. The ideal candidate will play a key role in the smooth operation of the office, ensuring efficient handling of daily tasks and client interactions.
Key Responsibilities:
1. Administrative Support: Assist the Head of Sales and Lettings with daily tasks, including diary management, email correspondence, and document preparation.
2. Client Communication: Handle incoming calls and enquiries with a professional and friendly manner, providing information and directing queries as appropriate.
3. Property Listings: Coordinate the marketing of properties, ensuring accurate and up-to-date information on all listings, including website updates and online portals.
4. Viewings and Appointments: Organise and schedule property viewings, liaising with clients, vendors, and landlords to confirm times and follow up for feedback.
5. Tenancy Coordination: Support the lettings process by preparing tenancy agreements, referencing checks, and ensuring all compliance documents are in place.
6. Sales Support: Assist with the sales process by managing buyer and seller correspondence, updating property files, and coordinating with solicitors and other stakeholders.
7. Office Management: Maintain an organized workspace, ensuring that all files, paperwork, and client records are updated and easily accessible.
8. Marketing Support: Help with social media updates and property promotions to enhance the company's visibility and attract potential clients.
9. Database Management: Maintain accurate records of client information and property details on the CRM system.
Experience and Skills Required:
1. Previous experience in an estate agency or property environment is highly desirable.
2. Strong organisational skills with excellent attention to detail.
3. Exceptional telephone manner and interpersonal skills.
4. Proficient in Microsoft Office (Word, Excel, Outlook) and familiarity with property management software.
5. Ability to multitask and manage time effectively in a busy environment.
6. Strong communicator both written and verbal.
7. A full UK driving license.
