Our Guildford Operations is looking for a new Part-time Administrative Clerk to join their team.

What does an Administrative Assistant do?
The Administrative Clerk plays a vital role by helping the organization run smoothly. They provide general administrative and clerical support to the UK site, coordinate and schedule business appointments, maintain supplies, and plan events. The Administrative Assistant supports Senior UK Management and Business Development with travel and meeting coordination. They work closely with Operations, Human Resources, and Finance as well as senior leadership.

We are looking for someone to work on site for up to 20 hours per week with great administrative skills. You should be detail-oriented, organized, and self-motivated with strong communication skills. You should be reliable, adaptable, and thrive in fast-paced working environments. Confidentiality is key in the role since you will prepare files and attend meetings with senior leadership.

Position Summary
Position title: Administrative Clerk
Reports to: Senior Vice President of Pharmaceutical Development
Essential Duties and Responsibilities
Responsibilities:
* Provide first contact for site visitors (by phone or in person), including clients, vendors, and solicitors.
* Provide general administrative and clerical support including mailing, scanning, copying, and completing expense reports for Senior Management.
* Coordinate and track shipments to and from the MedPharm UK Site.
* Coordinate with vendors for general office repairs, equipment maintenance, and account setup.
* Maintain office, breakroom, and facilities supplies for MedPharm UK Site.
* Coordinate client site visits by sending information packets/calendar invites to site visitors.
* Support Senior Management and Board of Directors with travel arrangements.
* Support Senior Management meetings.
* Support MedPharm’s participation in TradeShows.
* Conduct MedPharm event planning.
* Any other duties and/or tasks that may be assigned.
Requirements:
* 1 year of experience working in an office.
* Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
* Excellent time management skills and the ability to prioritize work.
* Attention to detail and problem-solving skills.
* Excellent written and verbal communication skills.
* Strong organizational skills with the ability to multi-task.
