Job Title: Senior Administrator (Safeguarding) Location: Assembly Buildings, Belfast Council: Social Witness Salary Scale: A3 (£12.21 - £14.12 per hour) Hours of Work: 32.5 hours per week (Mon-Fri) Responsible to: Office Manager (Council for Social Witness) MAIN FUNCTION OF JOB To be an active member of the General Assemblys staff team, contributing to the effective administration of its functions. To provide administrative support to the Council Secretary, executive staff and Conveners for the delivery of the agreed work programme for CSW in a manner in keeping with the Christian ethos of the Presbyterian Church in Ireland. RESPONSIBILITIES AND DUTIES Responsibilities and Duties 1. To process Access NI applications and NVB Checks for the Presbyterian Church in Ireland, its associated bodies and organisations in line with CSW policies. 2. To be responsible for the maintenance of the record management system for criminal record checks for the denomination. 3. Liaise with CSW Umbrella Groups in processing their Access NI applications and provide related advice. 4. Keep up to date with changes to policies around Access NI and NVB and ensure these are communicated with line management. 5. Manage outcomes from criminal record checks in line with the PCI policy. Training 6. Manage training requests across the domination 7. Liaise with volunteer trainers and congregational representatives to organise training sessions 8. Maintain central training database 9. Produce annual statistical information 10. Carry out administrative changes in programme resources, e.g. presentations, pocket guides and forms Onus 11. Be responsible for the administration of safe churches and maintenance of records management system for the same Administrative Tasks 12. To carry out all clerical duties, management of telephone calls and email communications. (Duties may include word processing, filing, photocopying, distribution of post, and organising meetings when required as part of the CSW administration team). 13. Be part of a team that manages first contact for safeguarding queries and escalate appropriately. 14. Produce reports and statistics for various Committees, Panels, Director and Council when required. 15. Attend and participate in Council for Social Witness administration team meetings and safeguarding meetings. 16. Participate actively in own supervision 17. Support regional care managers with administration tasks in relation to adult safeguarding within the care services. Under take any other duties relevant to the post as required CRITERIA 1. QUALIFICATIONS AND KNOWLEDGE Essential Minimum of 5 GCSEs (grades A-C) including English Language and Maths or equivalent qualifications OCR (RSA) Stage II Word Processing or equivalent in competence or qualifications Proficient in the use of Microsoft Word, Excel, Outlook, PowerPoint and Access Desirable A knowledge of Child and Adult Safeguarding issues, including awareness of Access NI or Garda vetting processes. 2. RELEVANT EXPERIENCE Essential One year experience of administrative work Experience of creating and maintaining filing systems and databases. Experience of answering customer queries ideally in person, on the phone and via email/letters Experience of dealing with sensitive/confidential matters and awareness of the importance of data protection. Desirable Experience in the administration of Access NI checks Experience of invoicing and processing finance Experience of organising meetings, booking rooms/venues and providing or organising hospitality for groups of varying sizes Experience of diary management using Microsoft Outlook 3.
