We are looking to recruit enthusiastic and dynamic receptionists/administration assistants to work within the Surgical Assessment Unit which is a DAP area (Direct Access pathway). The successful candidate will need to be flexible.
As the first face many patients will see when they enter our hospital, we are looking for candidates that are calm under pressure and can communicate well with patients and relatives, demonstrating our UHCW values and setting the standard for further patient experience.
This is a challenging but rewarding role, and we will support starters with all the education and training required in the systems we use.

Main duties of the job
1. Book patients into the SAU and making follow-up outpatient appointments if required.
2. Act as the first point of contact for dealing with routine enquiries and take action as necessary, liaising with others as appropriate.
3. Communicate with staff, patients, and/or external organisations using appropriate methods.
4. Maintain both manual and electronic filing systems and databases, as required by the department and Trust policies, ensuring all documents are accurately and appropriately archived.
5. Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the departments and other team members as requested.

Job responsibilities
1. Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. These systems may include IpM, CRRS, and CPIS.
2. Collate, input, and monitor department documentation and information to assist with the production of monthly reports for the department.
3. Responsible for the dissemination of all relevant information to departments, external and internal users (e.g., dissemination of minutes, memos).
4. Assist with training new team members in Trust operational systems and department procedures.
5. Responsible for ordering stationery and other equipment whilst monitoring and maintaining stock levels.
6. Responsible for the receipt and distribution of incoming/outgoing post and action accordingly.
7. Prioritise daily tasks to achieve timescales set.
8. Act as the first point of contact for complaints within the department, dealing with them accordingly and in line with Trust policy and departmental standards.
9. Provide appropriate cover in the absence of other members of the team.
10. Continually contribute to patient and business improvement agendas. Share ideas for potential service improvement.
11. Ensuring relevant information is captured for overseas/private patients.
12. Responsible for the NHS 111 referral inbox. Ensuring that the inbox is monitored regularly throughout the day.
13. Creating external referrals for NHS 111 referrals.
14. To be responsible for ensuring all clinic outcomes are recorded onto PAS in a timely and efficient manner in accordance with Trust policy.
15. To ensure that any requested changes to clinics are administered in a timely and efficient manner.
16. Adjusting patients' appointments forward when additional capacity has been arranged. Re-arranging patients' appointments if required.
