Job Description Summary
The Facility Coordinator plays a vital role in supporting all facility-related activities across multiple buildings and campuses, including direct communication with third-party tenants and coordination with internal teams. This position is responsible for ensuring smooth facility operations, responding to service requests, coordinating maintenance tasks, and supporting event planning, conference room support, and asset management. The Facility Coordinator will be a key point of contact for tenants, vendors, and internal stakeholders, ensuring the highest level of service delivery for the client.
Job Description
Key Responsibilities
* Facility Operations & Service Delivery:
o Respond to all facility inquiries and complaints, assess problems, and take necessary corrective actions.
o Remain knowledgeable about operational aspects of building systems (HVAC, lighting, plumbing, etc.).
o Create and manage purchase orders in Yardi for vendors as needed.
o Monitor the 360 Facility request system, track work order progress, and coordinate updates or changes to request objectives and ensure performance on timely response and completion of tasks.
o Serve as an additional resource for tenant communications regarding parking, maintenance, and other tenant-related needs across multiple campuses in cooperation with the tenant services coordinator and facility management team.
o Oversee vendor management for contracted services such as food services and document destruction, ensuring service level agreements are met.
o Coordinate with external contractors and service providers for maintenance and repairs of facility equipment.
* Event Planning & Conference Room Coordination:
o Assist with planning and coordinating large events on campus, ensuring all logistics (catering, AV setup, room layouts) are in place.
o Manage conference room bookings, coordinate setup, and ensure that equipment and furniture arrangements meet client requirements.
o Provide backup support for large events across campuses, ensuring seamless service delivery.
* Asset & Space Management:
o Assist in tracking and organizing all furniture, fixtures, and equipment (FF&E) across campus, ensuring proper inventory and asset tagging.
o Maintain the WMA (Workday Management Application) database, updating employee neighborhood locations, equipment inventories, and locker/credenza assignments in conjunction with the space planning and MAC teams.
o Assist with moving and tracking furniture and assets between locations or floors as needed.
o Support technical troubleshooting related to workstations and equipment on the floor and coordinate repairs when necessary.
* Systems Administration & Technical Support:
o Administer and support systems such as FAMIS 360, SNOW, and WMA, providing troubleshooting assistance to colleagues and resolving user issues.
o Train colleagues on using facility management software and maintain an up-to-date list of active users and vendors.
* Procurement & Finance Support:
o Submit and balance requisitions for Cushman & Wakefield and Unum-related procurement needs.
o Assist in submitting charges for lease administration, parking, catering chargebacks, and other vendor invoicing tasks.
o Research vendor invoices and payments, collaborating with the Finance Manager, Facility Manager, and Tenant Services Coordinator to resolve discrepancies.
* Health, Safety & Emergency Response:
o Act as a key member of the Safety Team, ensuring compliance with Unum safety policies and emergency response protocols.
o Support emergency situations, including conference room overlaps and tenant needs, and respond promptly to customer concerns.
o Coordinate with security teams for badge requests, terminations, and reactivations for third-party tenants.
* Special Projects & Additional Support:
o Provide backup support for campuses and other facilities during PTO or emergencies.
o Assist in project management tasks related to product development, program integrations, testing, and updates in systems like ServiceNow, WMA, and FAMIS 360.
Support special projects as assigned by clients or management, including equipment refreshes, furniture repairs, or space reconfigurations.
