Total Security is a multi award-winning Antivirus and Security company, based in Fareham, Hampshire. We are currently looking for a Compliance Assistant to join our team, based in Segensworth PO15 5TT. We proudly won South Coast Tech Employer of The Year 2024!
The Compliance Assistant will support the Compliance Manager in ensuring that the company's operations comply with legal, regulatory, and internal policy requirements, particularly in areas such as consumer law, GDPR, contract law, and other relevant regulations. The role will involve assisting with day-to-day compliance activities, helping to manage compliance documentation, and supporting various departments within the company.
What you will do
1. Document Management and Record Keeping: Maintain and organize compliance records, including contracts, agreements, and communications with legal authorities. Ensure that all compliance documents are easily accessible and up to date.
2. Compliance Monitoring: Assist in monitoring compliance-related activities across marketing, operations, support, and development teams. Help identify areas of potential risk and provide support in mitigating those risks.
3. Support for Compliance Audits: Help prepare for and participate in internal and external audits. Assist in gathering required documentation and data for audit reviews.
4. Training and Awareness: Support the development of compliance training materials and conduct regular compliance awareness sessions for internal teams.
5. Regulatory Tracking: Keep up-to-date with changes in consumer law, GDPR, auto-renewal laws, and other relevant regulations. Assist in tracking and interpreting updates to ensure the company remains compliant.
6. Assisting with Customer Communication: Assist in the creation and review of customer-facing materials, such as privacy policies, terms and conditions, and auto-renewal notifications, ensuring compliance with applicable laws.
7. Cross-Department Support: Work with marketing, operations, support, and development teams to advise on legal and regulatory compliance matters. Provide guidance on product offers, advertising materials, customer interactions, and website functionality to ensure adherence to legal standards.
8. Complaint and Dispute Management: Assist in monitoring and analysis of customer complaints or disputes related to compliance issues, such as refund requests, cancellations, or data subject requests under GDPR.
Skills and experience
1. Experience in Legal research (from a degree or equivalent)
2. Strong organisational skills and attention to detail.
3. Ability to handle confidential information with discretion.
4. Strong communication skills, both written and verbal.
5. Proactive and able to work independently as well as part of a team.
6. A legal or business-related degree is desirable but not essential.
