Role: Assistant Asset Manager
Location: Birmingham (1 day/week on site)
IR35: Inside
Rate: £500/day (MAX)
Duration: Until 31/03/2025 Initial contract (extension budget depending)
Responsibilities:
1. Assist the Asset Manager in the day-to-day management of the property portfolio.
2. Progress negotiations and documentation of new occupation agreements and varying existing agreements, in conjunction with clients and external partners.
3. Collate and create building/property lease-plans for occupancy agreements.
4. Create, review, and update Critical Action Plans.
5. Create Building Asset Management Plans.
6. Develop Property Packs describing the property, tenure, costs, occupancy, and summary of strategic plan for the asset.
7. Create marketing materials.
8. Ensure documentation is uploaded to the property management platform (MRI Horizon) by the Strategic Property Partner.
9. Review Horizon for accuracy of data related to occupancy agreements and run property reports on occupancy, apportionments, and costs.
10. Create and maintain a structured online filing system with core asset information.
11. Lead on the asset management of specific key properties under the supervision of the Asset Manager.
12. Provide written updates and reports on property management matters.
13. Review inspection reports and provide advice to the Asset Manager.
14. Ensure accurate and timely completion of property data using third-party suppliers.
15. Analyze and extract property data, including rent, rates, service charges, and critical dates.
16. Support the delivery of complex property transactions and multi-departmental moves.
17. Provide information and answer queries regarding land ownership and property arrangements.
18. Contribute to the delivery of South Region objectives and associated business targets.
19. Represent the Asset Management component in meetings on behalf of the Asset Manager.
20. Undertake administrative tasks such as taking and distributing minutes, raising Purchase Orders, and updating plans.
21. Participate in monthly reviews with the Asset Manager and undertake necessary training.
Essential Skills & Experience:
1. Relevant Public Sector Experience
2. Commercial Property Experience (Landlord & Tenant)
3. Understanding of Intra Government Occupancy Agreements
4. Strong Stakeholder Management & Communication Skills
5. Ability to understand and follow a budget
6. MRICS (Desirable)
