Contract: 6 months contract, with possibility of then joining in a permanent role, depending on service demand. Paid Working Hours: 12 hours/week. Wednesday 10:00am - 2:00pm (four hours work). Friday 10:00am - 2:00pm (four hours work). Sunday 9:00am - 1:00pm (four hours work). Annual Leave: 67.2 hours/year Pay: Monthly. Key Responsibilities Greet and assist clients/visitors. Help manage our appointment system, ensuring efficient scheduling. Handle phone calls, emails and correspondence, addressing requests/queries promptly and politely, while maintaining confidentiality. Prepare and write request forms for clients. Scan and organise client-related documentation. Use chip and pin device to take bookings/payments, in person and via telephone. Support the sonographer, helping the clinic/list run smoothly. Chaperone the sonographer for certain examinations e.g. a transvaginal scan. Keep the reception room tidy, clean, and organised. Inform manager when stock is low. Prepare room/list for next clinic shift, communicating handover information to colleagues. Participate in mandatory training and audits, as needed. Deal responsibly and proactively with complaints. Build positive rapport with clients and encourage great feedback. Essential Qualities/Skills Patient and kind to clients/colleagues. Presentable and friendly demeanour. Excellent telephone manner. Excellent communication and interpersonal skills, with the ability to interact politely and empathetically with a diverse range of clients. Good handwriting and attention to detail when writing request forms. Hardworking and resourceful. Punctual. Experience and knowledge of Microsoft Word. Satisfactory DBS check prior to starting work. Desirable Requirements Previous experience working as a receptionist in a healthcare setting. Experience and knowledge of working in a sales environment and taking payments. Flexibility/interest in working extra shifts, when other members of staff are on annual leave/sick eg. Monday morning, Tuesday (11:00am -7:30pm) and/or Thursday evening.
