Key duties Line Management and Leadership Direct line management of all FOH/ Receptionists Organise and conduct My Career Plan and provide feedback as necessary as well as regular one to one catch ups with direct reports Managing rota, including POETS, annual leave calendar and arranging temp cover if required Assist team with planning and prioritising tasks as necessary Coaching and mentoring One UK FOH team to ensure a consistent and professional customer service Liaise with HR and Engineering and Office Support Lead with regard to recruitment, notification of vacancies, reviewing CV’s and conducting interviews for administration team Performance management if required Overall responsibility for day to day running of the One UK Front of House team and managing resourcing across the team to ensure consistent support across the UK offices Actively involved in the training of new and current teams members (including temporary staff) in collaboration with the Learning and Development department as led by Business Support Manager and Engineering and Office Support Lead Ownership of processes and ensuring the UKFOH team are aware of current and new Managing stationery budget and working with FOH team to ensure budget met Front of House Answering calls in a timely and professional manner, including taking messages and dealing with ad hoc queries/issues Welcoming guests and contractors to site; ensuring they adhere to the signing in procedures Ensuring Reception shared mailbox emails are being dealt with in a timely manner Pre-register staff visiting London office Identifying areas for improvement within the FOH service Understanding the process for facilities call outs; and liaising with Facilities team to place breakdown calls as required including: lifts, fire panels, intruder panels, access systems Record office metrics as required Ensuring FOH, client areas and cupboards are clear and tidy, carry out regular walk rounds Managing the meeting room bookings for the large meeting rooms/event spaces; including ensuring facilities are booked for meeting room set ups Liaising with Facilities team to highlight issues; and ensure calls related to FOH are closed out Processing train ticket requests, ensuring accuracy and highlighting any issues Booking local taxis as required Managing incoming and outgoing post, parcels and couriers Recording issues for cleaners and security to pick up; and following up that these have been carried out (dependent on which office) Assisting catering team when required Assisting with Right To Work checks for new starters (dependent on which office) Managing the access card database and providing new starters with access cards Assisting Facilities with weekly fire alarm testing (dependent on which office) Assist with planning and coordinating office events Any other duties as and when required to help with the smooth functioning of the Facilities and Front of House teams Your skills and experience Experience of leading and developing a team positively and effectively Previous Front of House experience, including managing a busy switchboard Excellent computer and IT skills including; Word, Teams and experience using spreadsheets and databases Excellent communication skills; including dealing with difficult customers Confident, proactive character, with the ability to take the lead in challenging situations Highly organised and able to problem solve What we offer you Attractive salary and benefits package including life assurance and income protection.
