Job summary A vacancy has arisen to lead the secretarial and administrative support for our ENT (Ear, Nose and Throat) specialist GP service. You will be based at Townsend House in Seaton and form part of the administrative team that works alongside our healthcare professionals to support our GPs delivering excellent care to our patients. Main duties of the job We are looking for an applicant who has excellent administrative skills and really focused attention to detail who can maintain the well-established ENT secretary role. We require an applicant who can work under pressure in an environment which requires flexibility and yet also have a thorough understanding of compliance and protocols. You will have an engaging and professional manner with patients and be able to work to deadlines and prioritise workload independently. The role requires close working with our GP Partner who leads on the ENT service and you will work with him to deliver our well-regarded clinical service at Townsend House. Responsible and accountable to: The Practice Manager KEY RESPONSIBILITIES: Managing the diary of the GP with special interest GPwSI for our weekly ENT clinics held at Exmouth, Seaton & Tiverton. Managing the surgery liaison with DRSS. Clinic booking and other patient communications ENT admin: sending outcome/results letters etc. to relevant GPs and arranging follow-ups as necessary. Liaising with staff at the three hospital sites to ensure rooms, nurse and CHIME are all booked in. Contractual negotiation and reporting. Stock management. Other surgery clinic booking. To work with other members of the secretarial team to provide support on referrals and patient communication. Ensure all external communications are appropriately coded, filed and actioned. Be aware of regulatory and compliance requirements for safeguarding, data protection and access to medical records. Prepare statistical reports, audits, analysis of data as required.
