Overview
We are seeking a professional and empathic Receptionist/Administrator to join our friendly and efficient team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires excellent phone etiquette, strong organisational skills, and the ability to manage multiple tasks efficiently in a busy surgery environment.
Duties & Responsibilities
* The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving Practice workload and staffing levels:
* Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols.
* Maintaining and monitoring the Practice appointments system on EMIS Web clinical system.
* Register and deduct patients following practice protocol.
* Processing and distributing incoming (and outgoing) mail.
* Using Docman and AccuRx to process letters/emails/messages from patients, outside agencies and secondary care, coding details onto EMIS web patient notes and triaging to appropriate clinicians.
* Maintaining the clinical staff rota and appointment books on Emis web.
* Monitoring specific Quality and Outcomes framework (QOF) targets and book patients for their annual reviews, blood tests, vaccinations.
* Assist with organising and running vaccine clinics as required.
* Claiming for clinical work done using Emis searches, Apex, PPA.
* Phoning patient to offer/book blood tests.
* Write and send letters and emails to follow up missed appointments and recalls.
* Organising and printing blood forms from the clinical ICE system.
* Monitoring saving and assigning e-consult to relevant clinicians.
* Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
* Taking messages and passing on information.
* Filing and retrieving paperwork.
* Processing repeat prescriptions in accordance with Practice guidelines.
* Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures and the Data protection regulations.
* Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers.
* Clearing and re-stock consulting rooms as required.
* Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning.
* Ordering, re-ordering and monitoring of stationery and other supplies.
* Dealing with clinical waste with appropriate personal protection.
* Keeping the reception area, notice-boards and any leaflet dispensers tidy and free from obstructions and clutter.
* Act as chaperone for patients during procedures when required once appropriately trained.
Requirements
* Experience in a receptionist or similar administrative role in healthcare is preferred.
* Excellent phone etiquette and communication skills.
* Strong organisational abilities with attention to detail.
* Trustworthy with the ability to respect patient privacy, confidentiality and sensitive personal data.
* Ability to perform clerical tasks efficiently with minimal supervision once trained.
* Capable of handling data accurately and promptly on various computer and software systems.
* A friendly disposition with professionalism.
* Ability to multitask in a fast-paced environment while maintaining composure.
* Ability to identify and report potential risks and hazards.
* Previous experience on EMIS web clinical system preferable.
