Job summary
Public Health Wales is looking for a dedicated Events Officer to join our Estates and Facilities Operations and Finance team. Based in Cardiff, this full-time role ( hours per week) involves coordinating meetings, events, and conferences in our newly created open space at Capital Quarter 2. You will play a pivotal role in supporting various teams and external partners, ensuring the successful planning, delivery, and follow-up of a range of public health events.
Main duties of the job
As an Events Officer, you will be responsible for coordinating all aspects of event planning and delivery:
1. Event Coordination: Work closely with internal teams and external stakeholders to coordinate all aspects of event planning and delivery.
2. Communication: Serve as the primary point of contact for event organisers, ensuring effective communication and smooth event operations.
3. Resource Management: Manage event resources, including IT equipment and materials, to support the successful execution of events.
4. Technical Support: Collaborate with IT teams to ensure proper setup and troubleshooting of technical equipment.
5. Post-Event Activities: Participate in post-event reviews, gathering feedback and identifying opportunities for improvement.

Job responsibilities
In this role, you will liaise closely with event organisers and stakeholders to ensure all event requirements are met. You will coordinate the setup and breakdown of event spaces, including managing furniture and equipment, and assist in preparing and executing risk assessments. On event days, you will provide hands-on support to ensure all logistics run smoothly. Additionally, you will manage and maintain event resources, oversee stock levels, and handle procurement of necessary supplies.
Your role will also involve supporting virtual event management, including platform setup and technical assistance, and maintaining accurate records of event plans and related documents. After each event, you will participate in lessons learnt sessions, implementing feedback for continuous improvement. You will also undertake other administrative tasks as needed to support the team.
Key Skills and Attributes:
To excel in this role, you will need strong organisational and time management skills, with the ability to manage multiple tasks and priorities effectively. Excellent communication skills are essential, as you will be liaising with a wide range of stakeholders, both internal and external. You should have proven administrative experience and be proficient in using Microsoft Office packages, particularly Outlook, Word, PowerPoint, and Teams, is crucial, as you will frequently use these tools for coordinating and during events. Experience in event management is desirable, along with familiarity with IT systems and virtual event platforms. A flexible approach and adaptability are also important, as the role may involve occasional travel and physical tasks such as setting up event spaces.
