Assistant Manager - Operations and Customer Relations
To be responsible for the smooth running of a small office for School Trunk working across any aspect of the business.
Responsibilities:
* Order processing: Ability to manage orders and process them, using the available tools – company website and maintaining records as well as dealing with customer queries
* Management of students’ belongings:
o Making sure we know what we have, where it is and where it needs to go to, both for schools and individuals
o Making sure each item gets there
o Extracting reports for collection and re-delivery as defined and required for operational purposes
o Working with external courier and monitoring collections and deliveries
o Providing quotes for international shipments, including working with external shipping companies
* Support for schools’ clearance and re-delivery:
o Production of all documentation related to this process
o Sourcing and communication with all casual staff
o Processing of ‘extras’ once collection complete
o Delivering stock to schools ahead of move dates
* Driving and Team Leading: Driving to schools’ sites and leading teams of temporary workers
* Schools’ database management: making sure we use Spotler effectively, producing reports as required, inputting data and keeping it accurate
* Customer database management: monitoring orders and status
* Office filing and management: keeping tabs on all systems including IT, telephones and on-line ordering systems related to School Trunk
* Stock: Managing stock levels of all School Trunk materials and ensuring items are re-ordered when required (in conjunction with Operations Manager)
* Crate stock management: Ensuring that there is sufficient rental stock, cleaned and ready for despatch, to fulfil the rental requirements for the next rental period, including the repair of any broken items if possible
* Equipment: Checking all equipment used for collections/redeliveries is in good working order/ordered and delivered and ensuring that there is sufficient equipment to meet the requirements of the next collection/removal period
* Standard operating procedures/Processes: Follow and update processes and standard operating procedures
* Gold Care: Helping to manage the Gold Care process including: collection, processing, Gold Care staff, contact with Saffron Walden Laundry and repacking.
* Other: Any and all work that is related to School Trunk and UniWiz
Key Skills:
* Organised & methodical
* IT literate, particularly in Outlook, Word, PowerPoint and most importantly Excel
* Ability to quickly learn and adopt new IT practices e.g. School Trunk Sales Order Processing system, Kroy Label printer and RSS database management software
* Excellent attention to detail
* Flexible and able to cope with peaks and troughs of activity
* Good knowledge of the public school system highly beneficial
* Must be physically fit, able to lift and move boxes/suitcases within agreed Health and Safety limits
* Good knowledge of 3rd party logistics
* Ability to drive vehicles up to and including a Luton van
* Lead a team of porters on site
