Job Summary: This role is responsible for accurately delivering the payroll services for the UK and Isle of Man (IOM) businesses and continuingly reviewing processes to improve services for our colleagues and includes responsibility for maintaining the governance controls for this business-critical People Strategy service and reporting all risks to the People Governance Partner and Compliance Team and taking the necessary actions to redress them This role requires the processing of both monthly and quarterly payrolls including a monthly staff payroll of 1400 employees, a quarterly Directors payroll, a monthly Modified payroll and two outsourced payrolls. The job holder represents our UK and Isle of Man businesses acting as SME with our external developers to process improve system functionality and regulatory changes by testing and approving new changes into our live environment. On occasion the role holder will provide SME input into the European Sustainment Team in connection with our Success Factors payroll. The job holder is responsible for providing data template reporting to the Canada Life UK Finance Department using monthly payroll breakdowns and reconciliations to ensure monthly payroll costs are proportioned appropriately ensuring appropriate level sign off. The role requires the individual to work at a very fast pace resolving unanticipated payroll changes for the business, providing excellent customer service to stakeholders, ensuring the payrolls are executed in a timely manner and to a high standard. This role will report directly into the Head of People Services. What you will be doing: - Primary responsibility is for the accurate and timely delivery of all UK & IOM payrolls, conducting payroll transactions in an efficient and timely manner to meet deadlines. - You will ensure a successful monthly and quarterly payroll output by overseeing input into the SuccessFactors payroll system to ensure changes to colleague records are accurately reflected in their pay. This includes all employee lifecycle changes to joiners, movers and leaver and oversight of complex cases such as sickness, family leave and resolving any issues which may occur. - Managing a team of two payroll specialists plan and organise the team’s time and priorities for that day and week. The job holder is also expected to process map and plan the payroll cycle for every month’s payrolls, ensure the right people are around for approvals and managing the team’s time.- You will oversee delivery of all regulatory requirements, including timely and accurate reporting to HMRC. This includes the Employer Payroll Summary (EPS) and Full Payment Submission (FPS) to ensure payroll calculations balance and are in line with HMRC guidelines. The job holder will also need to process any third-party payments such as the monthly Revenue payment for PAYE - You will be responsible for processing and making payment of the monthly BACs to ensure the funds meet the bank in time for pay day, processing the General Ledger and reconciling accounts through monthly manual journals to ensure all payments and deductions are made from the correct accounts/cost centres and processing system changes and employee changes for tax year end. - You will close off the current tax year within the system, working alongside 3rd parties for any year-end adjustments which need to be reported to HMRC and overseeing the producing and publishing all employees’ end of year certificates (P60). - In addition, you will proactively identify both system and business process improvements And approve system testing and changes into the live environment with the opportunity to make decisions on future releases and system enhancements. - You will be responsible for following risk management processes in line with Canada Life policy. Your Experience: • Experience of managing a UK payroll, including managing staff• Knowledge of SAP SuccessFactors an advantage• Experience of oversight and checking payroll processes • Ideally experience of running a director’s payroll • Ideally experience of running a Modified payroll in the UK• Sound understanding of tax codes and how they are calculated including P45’s, P46’s, PIID’s and P60’s• Sound understanding of HMRC Payroll Guidelines, processes and how to apply them• Confident using Excel • Ideally a CIPP qualification• Highly organised and effective time management• Self-motivated and able to manage self and team to meet tight deadlines • Ability to communicate with all levels of internal and external stakeholders, including HMRC• Confident in making informed and risk-based decisions and proposals for action
