Medical & Dental Rostering Administrator

South Tyneside and Sunderland NHS Foundation Trust is looking for an individual to work as a Medical and Dental Rostering Administrator/Helpdesk Operator within the Medical Rostering Team based at South Tyneside District Hospital.
The team is a small but established team who manage the day to day running of the resident doctor rotas. Together with two other helpdesk administrators, you will work alongside two Implementer/Advisors as well as an Assistant Rostering Manager to ensure we provide a professional and proactive service and support the service, and the ability to seek support when queries need to be escalated.
Main duties of the job
Within the role, you will be the first point of contact for resident doctors and users of HealthRoster and eJob Plan. A central inbox will be shared with the helpdesk group where you will be required to take ownership of queries and ensure they are fully resolved or escalated to senior members of the team when required.
The role requires someone who can react quickly to resolve queries, be able to work independently and as a team to meet tight deadlines. The Team delivers a high standard of customer service to our doctor community and operational managers.
Job responsibilities
Provide a comprehensive, efficient and effective administrative/help desk service, including:
* Data entry and systems configuration including ESR interface;
* Handling routine user support queries via emails, phone calls, and face to face;
* Performing regular updates and system changes;
* General administrative duties to support the team;
* Monitoring Junior Doctor rotas;
* Arranging locum cover for vacant shifts/rota gaps through the procurement of internal bank or external agency;
* Support Junior Doctor recruitment services, providing an efficient and professional service.
Person Specification
Training and Knowledge
* Understanding of data protection/confidentiality in the workplace.
* Understanding of medical workforce professional requirements, e.g. Junior Doctor working hours, professional standards, 2016 TCS.
* Working knowledge of electronic workforce systems e.g. Allocate, NHSp.
Experience
* Experience in an administrative role preferably in a Healthcare/HR/Workforce/Recruitment environment.
* Experience of working with Word, Excel, PowerPoint.
* Experience of working in an administrative role in a busy and variable office environment.
* Experience of accurately entering information into electronic systems.
* Experience of maintaining a high standard of data/record keeping electronic and paper based.
Skills
* An effective and professional telephone manner.
* Ability to take accurate notes.
* Ability to manage day to day workload, prioritise and meet deadlines.
* Ability to administer and co-ordinate meetings.
Qualifications
* NVQ III in Business Administration or equivalent qualification or experience.
* GCSE English Language Grade C as minimum or equivalent.
